We are looking for a detail-oriented Procurement Specialist to support purchasing and supplier coordination activities for a service-focused organization in Edmond, Oklahoma. This contract position with potential for permanent placement is ideal for someone who can manage order accuracy, track incoming goods, and maintain strong communication with vendors and internal teams. The role offers the opportunity to contribute to daily procurement operations while helping ensure products, records, and delivery schedules remain organized and up to date.

Responsibilities:
• Create and process purchase orders for routine replenishment and direct-ship requests, then confirm order details with suppliers for accuracy.
• Record incoming shipments in the system, monitor outstanding items, and follow up with vendors regarding delayed or back-ordered materials.
• Coordinate inbound delivery schedules by arranging appointments and documenting expected arrival dates for warehouse planning.
• Reconcile supplier invoices against receiving records and purchase orders, and communicate when direct-ship transactions are ready for billing.
• Review open purchase orders on a regular basis to confirm they remain active, valid, and on schedule, escalating late orders as needed.
• Maintain item and product data by setting up new entries, reviewing existing records, updating lead times, and documenting replacement products and forecasts.
• Build and sustain productive supplier relationships to support service levels, issue resolution, and ongoing procurement needs.
• Enter work orders and assist with operational documentation, filing, and item maintenance within the company system while supporting warehouse paperwork as needed.• Experience in procurement, supply chain, logistics, or a related purchasing environment is preferred.
• Knowledge of purchase order processing, buying procedures, and general procurement operations.
• Strong organizational skills with the ability to manage multiple orders, deadlines, and follow-up activities effectively.
• Clear written and verbal communication skills, with the ability to work well with suppliers and internal departments.
• Proficiency with Microsoft Office applications, particularly Outlook, Excel, and Word.
• Ability to develop and maintain positive working relationships with vendors and business partners.
• A degree in business or a related field is a plus.
• Familiarity with Power BI, Power Apps, or enterprise systems is advantageous; bilingual English with Chinese and/or Spanish is a plus.
