Position Overview: The Inventory Control Specialist is responsible for maintaining the accuracy, integrity, organization, and availability of inventory across the company's warehouse and facility operations. This position will oversee inventory monitoring, physical counts, cycle counts, reconciliations, system transactions, inventory reporting, and discrepancy resolution across multiple locations. The Inventory Control Specialist will serve as a key resource for ensuring that physical inventory is accurately reflected in NetSuite or other inventory management systems. The position will work closely with warehouse personnel, Facility Operations, Procurement, Project Management, Accounting, and other operational teams to ensure materials are properly received, stored, issued, transferred, counted, and documented. This role will maintain inventory records for a broad range of materials, including hardware, construction materials, project consumables, tools, facility supplies, concrete products, epoxies, paints and coatings, pesticides, chemicals, serialized assets, infrastructure components, and other operational materials. The Inventory Control Specialist will identify trends and discrepancies, investigate root causes, recommend corrective actions, and continuously improve inventory control processes. The ideal candidate is highly organized, analytical, detail-oriented, and comfortable working with both inventory management systems and physical warehouse operations. This individual must be capable of working independently while building strong working relationships with warehouse and facility personnel throughout the organization. Key Responsibilities Inventory Control & Accuracy Monitor and maintain accurate inventory records for warehouse, facility, project, and operational materials. Maintain inventory accuracy across multiple warehouses, facilities, yards, and other company locations. Ensure physical inventory quantities consistently align with quantities reflected in NetSuite or other inventory management systems. Monitor inventory levels and identify unusual variances, negative quantities, duplicate records, obsolete inventory, inactive items, and other data integrity issues. Establish and maintain appropriate inventory control procedures for different categories of materials and assets. Review inventory activity to identify recurring discrepancies, process failures, or opportunities for improvement. Ensure inventory is properly categorized, identified, labeled, and stored. Assist in establishing appropriate minimum/maximum inventory levels and reorder points where applicable. Monitor inventory movement between locations and ensure transfers are properly recorded. Cycle Counts & Physical Inventories Develop and maintain a structured cycle count program based on inventory value, usage, criticality, and risk. Schedule, coordinate, and lead routine cycle counts and physical inventory audits in collaboration with warehouse and facility personnel. Perform and/or oversee physical counts of inventory at multiple locations. Verify count results and reconcile physical quantities against system records. Investigate discrepancies and determine the root cause of inventory variances. Document inventory adjustments and ensure all adjustments are properly supported and approved. Prepare and maintain physical inventory count reports and reconciliation documentation. Assist with annual and periodic company-wide physical inventory counts. Develop procedures to improve count accuracy and reduce recurring inventory discrepancies. NetSuite & Inventory Systems Maintain accurate inventory information within NetSuite or other inventory management systems. Enter and verify inventory receipts, issues, transfers, adjustments, returns, and other inventory transactions. Review inventory transactions for completeness, accuracy, and appropriate documentation. Maintain item records, inventory locations, units of measure, quantities, and other relevant inventory information. Monitor system-generated inventory reports and investigate unusual or inaccurate information. Assist with the development and maintenance of inventory-related system processes and controls. Partner with Accounting and Operations to ensure inventory transactions support accurate financial and operational reporting. Identify opportunities to improve system utilization, reporting, and inventory data integrity. Inventory Reconciliation & Auditing Perform regular inventory reconciliations between physical counts, NetSuite, warehouse records, purchase records, and other supporting documentation. Investigate discrepancies involving receiving, transfers, usage, returns, damage, loss, or incorrect system transactions.es Track open discrepancies through resolution and maintain appropriate documentation. Support internal inventory audits and provide requested documentation and reporting. Identify trends in inventory losses, shortages, overages, damaged materials, and obsolete inventory. Recommend corrective actions to prevent recurring inventory discrepancies. Maintain an audit trail for inventory adjustments and corrections. Materials & Asset Management Maintain accurate inventory records for hardware, materials, tools, consumables, warehouse supplies, and facility-related products. Manage inventory including concrete products, epoxy, paint and coating-related products, pesticides, chemicals, and other specialized materials. Maintain inventory records for selective serialized assets and infrastructure components. Ensure serialized items are properly identified, tracked, transferred, and reconciled. Monitor material usage and movement associated with projects and field operations. Assist in tracking materials issued to crews, projects, facilities, or other operational departments. Monitor damaged, expired, obsolete, or unusable inventory and coordinate appropriate disposition. Assist with identifying excess in ventory and opportunities to redistribute or utilize existing materials before purchasing additional inventory. Coordinate with appropriate personnel regarding storage requirements, expiration dates, and inventory controls for specialized materials. Reporting & Data Analysis Develop, maintain, and distribute recurring inventory reports for Facility Operations and management. Utilize Microsoft Excel to analyze inventory data, identify trends, investigate variances, and support decision-making. Create inventory reconciliation reports, cycle count reports, variance reports, inventory aging reports, and other management reports as needed. Analyze inventory activity to identify opportunities for improved utilization, reduced waste, and increased accuracy. Maintain accurate inventory documentation and supporting records. Provide management with timely visibility into significant inventory discrepancies, shortages, excess inventory, and other inventory-related issues. Support management with inventory metrics and key performance indicators. Warehouse & Facility Operations Work closely with warehouse and facility personnel to maintain inventory accuracy, organization, and accountability. Partner with receiving personnel to ensure incoming materials are accurately counted, inspected, and recorded. Partner with warehouse personnel to ensure materials issued or consumed are properly documented and removed from inventory records. Assist with establishing and maintaining standardized inventory storage and identification practices. Conduct periodic inspections of inventory storage areas to identify organization, labeling, or inventory control issues. Communicate inventory requirements and discrepancies to the Facility Operations Manager and other appropriate stakeholders. Provide guidance and support to warehouse personnel regarding inventory procedures and system transactions. Compliance, Safety & Controls Follow company policies and procedures related to inventory control, purchasing, receiving, storage, handling, and documentation. Ensure inventory records and processes support applicable accounting and internal control requirements. Follow established safety procedures when conducting physical inventory activities in warehouse, yard, and facility environments. Maintain appropriate documentation for materials that require special handling, storage, labeling, or tracking. Work with Facility Operations and Safety personnel to ensure inventory practices are consistent with company safety requirements. Maintain confidentiality and security of inventory and operational information. Report suspected inventory loss, theft, misuse, or control failures to appropriate management. Process Improvement Evaluate existing inventory control processes and recommend improvements that increase accuracy, efficiency, and accountability. Identify root causes of recurring inventory discrepancies and implement or recommend corrective actions. Develop and document standardized inventory control procedures and work instructions. Assist with improving inventory layouts, labeling, item identification, counting methods, and transaction processes. Participate in system and process improvement initiatives involving NetSuite and other operational systems. Identify opportunities to reduce inventory carrying costs, waste, loss, and unnecessary purchases. Support the development of inventory KPIs and performance standards. Promote a culture of inventory accountability across warehouse and facility operations. Required Qualifications 5+ years of relevant inventory control, warehouse, materials management, logistics, or supply chain experience. Demonstrated experience managing inventory across multiple locations or facilities. Proficiency with NetSuite or similar ERP/inventory management software. Strong proficiency with Microsoft Office, particularly Microsoft Excel. Demonstrated experience performing physical inventory counts, cycle counts, reconciliations, and inventory audits. Strong understanding of inventory transactions, including receiving, issuing, transferring, adjusting, and returning materials. Demonstrated ability to investigate inventory discrepancies and identify root causes. Strong analytical, mathematical, and problem-solving skills. Exceptional attention to detail and accuracy. Excellent organizational and record-keeping skills. Ability to manage multiple priorities and meet deadlines in a fast-paced operational environment. Ability to work independently and exercise sound judgment when resolving inventory issues. Strong written and verbal communication skills. Ability to effectively communicate with warehouse personnel, facility managers, operations teams, accounting personnel, and management. Ability to work in both an office and warehouse environment. Ability to perform physical inventory verification and walk through warehouse, yard, and facility areas as required. Preferred Qualifications Associate's or Bachelor's degree in Supply Chain Management, Logistics, Business, Operations, Accounting, or a related field. Experience working with NetSuite inventory modules and/or NetSuite ERP. Experience managing inventory across multiple warehouses, facilities, or geographic locations. Experience with construction, utility, infrastructure, field services, manufacturing, or industrial operations. Experience managing serialized assets or equipment. Experience developing and implementing cycle count programs. Experience conducting inventory audits and reconciliations. Advanced Excel skills, including PivotTables, XLOOKUP/VLOOKUP, SUMIFS, data validation, conditional formatting, and inventory analysis. Experience developing dashboards or inventory KPI reporting. Experience identifying and implementing inventory process improvements. Experience working with project-based inventory or materials issued to field crews and projects. Physical Requirements Ability to regularly walk, stand, bend, stoop, kneel, crouch, reach, and move throughout warehouse, yard, and facility environments. Ability to perform physical inventory counts and inspect materials stored on shelving, pallets, racks, and other storage systems. Ability to occasionally lift and carry inventory items, boxes, tools, or materials weighing up to 50 pounds, with or without reasonable accommodation. Ability to work around warehouse equipment, forklifts, vehicles, tools, construction materials, and other operational hazards while following required safety procedures.
