Job Overview The Facilities Manager is responsible for planning, managing, and overseeing Unity Environmental University's physical assets to ensure a safe, sustainable, functional, and welcoming environment in support of the institution's mission. The role oversees facilities operations, capital improvement planning, fleet management, third‑party service providers, compliance, and maintenance projects across university‑owned and leased properties. Responsibilities Facilities Operations & Asset Stewardship Execute facilities priorities established by university leadership and support effective stewardship of university‑owned and leased physical assets. Maintain a safe, functional, sustainable, and welcoming environment for students, employees, and visitors. Oversee day‑to‑day facilities operations across all university locations and ensure timely resolution of facility‑related issues. Conduct routine facility assessments and recommend maintenance, repair, and improvement projects. Maintain accountability for institutional facilities assets, including work order systems, asset inventories, key and access control systems, fleet resources, equipment records, and facilities documentation. Coordinate facilities‑related purchasing activities, including procurement planning, purchase requisitions, purchase orders, vendor onboarding, invoice review, and contract administration in accordance with institutional policies. Maintain accurate records related to facilities, equipment, fleet assets, inspections, warranties, and service contracts. Capital Projects & Facilities Planning Develop project scopes, schedules, budgets, and implementation plans for capital improvement, renovation, and maintenance projects. Manage the design, bidding, contractor selection, execution, and close‑out phases of assigned projects. Coordinate architects, engineers, contractors, landlords, property managers, and vendors to ensure projects are completed safely, on time, and within budget. Provide recommendations regarding facility improvements, deferred maintenance priorities, and capital investment needs. Monitor project performance and provide regular progress updates to leadership. Vendor & Contract Management Manage relationships with third‑party facilities service providers, including property management companies, maintenance contractors, landscaping services, snow removal vendors, waste management providers, security contractors, and specialized trades. Develop scopes of work and obtain competitive proposals as appropriate. Monitor contractor performance and ensure compliance with contractual obligations and service expectations. Review vendor invoices and validate completed work prior to payment approval. Compliance & Safety Ensure facility inspections, testing, certifications, permits, and regulatory requirements are completed and documented in accordance with applicable laws, codes, and industry standards. Oversee fire alarm, life safety, environmental, and building systems inspection schedules and corrective action follow‑up. Maintain documentation required for regulatory compliance and institutional risk management. Coordinate with local emergency management agencies, fire departments, inspectors, and other regulatory authorities as required. Serve as a member of the university's Emergency Response Team and assist with emergency preparedness planning, drills, and response activities. Budget & Financial Management Assist in the development of annual facilities operating and capital budgets. Monitor expenditures and ensure resources are utilized effectively and in alignment with approved budgets. Identify opportunities for cost savings, operational efficiencies, and asset optimization. Track facilities‑related expenditures and prepare reports as requested by leadership. Fleet Management Oversee university fleet operations, including vehicle maintenance, inspections, registrations, utilization tracking, replacement planning, and vendor coordination. Ensure vehicles are maintained in a safe and operational condition. Develop recommendations regarding fleet replacement schedules and lifecycle management. Leadership & Collaboration May supervise facilities employees, student workers, temporary employees, or contractors as assigned. Serve as the primary point of contact for facilities‑related operational matters. Work collaboratively with internal stakeholders, landlords, property managers, contractors, vendors, and regulatory agencies. Represent the university's interests during facilities, construction, and property management meetings. Proactively communicate project status, operational challenges, risks, and opportunities to leadership. Support the implementation of policies, procedures, and operational standards established by university leadership. Participate on institutional task forces and special projects as assigned. Qualifications Required Qualifications To be successful in this position you must be able to execute each of the position specific responsibilities while meeting the position expectations. Position Specific Education, Skills and Competencies Bachelor’s Degree in a related field required; equivalent experience may be considered. Three (3) or more years of progressively responsible experience in facilities management, construction management, property management, project management, or a related field. Demonstrated experience managing facility maintenance, renovation, and capital improvement projects. Experience managing contractors, vendors, and third‑party service providers. Experience developing, monitoring, and managing operating and capital budgets. Knowledge of building systems, facility operations, life safety systems, regulatory compliance requirements, and industry best practices. Experience with facilities management, asset management, work order, or inventory management systems. Proficiency with Microsoft Office Suite and the ability to learn and utilize enterprise software systems. Valid driver's license with a satisfactory driving record. Work Schedule / Availability Requirements Work hours are specific to the requirements of this position and may include days, evenings, and weekends as scheduled by supervisor to best support students. Working extended hours may be required as needed. Must be flexible and cooperative in fulfilling responsibilities and meeting the institution's needs. Travel may be necessary to attend events, meetings, or temporary assignments at any university location. Physical Demands Regularly required to sit and talk or hear. Occasionally required to stand or walk. Must occasionally lift and/or move up to 40 lbs. Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The use of either hand for repetitive movements such as grasping, turning, and fine manipulation is required as is the ability to use the telephone for internal and external communications. Environmental Conditions Work is performed mostly in an office setting. The noise level in the work environment is normally moderate. Exposure to changes of temperature or humidity 1‑33% of the time. Viability Matrix Enthusiastic support and ability to work within the Enterprise Model. University maintains 100,000 square feet or more of managed space across multiple geographically dispersed locations, including at least one institutionally owned facility. Facilities Management continues to be insourced by the institution.
