Minimum Requirements: A high school diploma and two years relevant program experience. A bachelor's degree may be substituted for the required program experience. Job Duties:
- 20% - Provide administrative and program support to leaders and research staff, including managing calendars, coordinating meetings, handling correspondence, and serving as a point of contact for internal and external stakeholders. Support day-to-day program operations by maintaining organized systems and ensuring timely communication.
- 20% - Support program leadership with operational and research-related administrative needs, including coordinating travel, preparing and editing documents (e.g., reports, presentations, biosketches), and assisting with expense tracking, reimbursements, and invoice processing in accordance with institutional and grant guidelines.
- 15% - Facilitate coordination of program activities by serving as a liaison across departments, research teams, and external partners. Ensure effective communication, support workflow management, and assist with tracking program deliverables and timelines.
- 15% - Coordinate scheduling and logistics for program-related activities, including meetings, events, and research-related engagements. Assist with calendar management, meeting preparation, and logistical support for program initiatives and special projects.
- 15% - Support financial and administrative aspects of program operations, including maintaining records, assisting with budget tracking and reporting, and ensuring compliance with institutional policies, grant requirements, and confidentiality standards.
- 15% - Contribute to continuous improvement of program and administrative processes. Support special projects and initiatives, maintain a professional and collaborative work environment, and perform additional duties as assigned to support program and departmental goals.
- Bachelor's degree in public health sciences, Business Administration, Healthcare Administration, or a related field.
- 1-2 years of administrative or program support experience, preferably in public health, healthcare, or academic research settings.
- Strong computer skills, including proficiency in Microsoft Office and experience with Electronic Medical Record (EMR) systems.
- Excellent communication and interpersonal skills, with the ability to engage professionally with patients, faculty, and external stakeholders.
- Strong organizational and time management skills, with the ability to prioritize and manage multiple projects simultaneously.
