Marketing Specialist

We are seeking a detail-oriented and highly organized Marketing Specialist to support business development and work acquisition efforts through the management of proposal and qualification submissions. This role is responsible for coordinating, developing, and producing compelling responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other client-facing marketing materials. The ideal candidate possesses strong communication, technical writing, and project management skills, with experience managing multiple deadlines in a fast-paced environment. Experience within the architecture, engineering, or construction (AEC) industry is preferred. Key Responsibilities Lead the planning, coordination, development, and submission of RFPs, RFQs, and other proposal responses in collaboration with marketing, estimating, and operations teams. Coordinate internal proposal kickoff meetings, establish schedules, and manage timelines to ensure timely and compliant submissions. Write, edit, proofread, and format proposal content, including executive summaries, project descriptions, staff biographies, and other narrative sections. Customize proposal materials and marketing collateral to align with client requirements, evaluation criteria, and strategic win themes. Maintain and update a centralized library of proposal content, including project sheets, resumes, case studies, and standard technical information. Utilize Adobe InDesign and other design tools to create visually compelling and brand-consistent proposal documents. Assist in the preparation of presentations, interview materials, award submissions, and other marketing initiatives as needed. Track proposal outcomes and participate in post-submission debriefs to identify opportunities for continuous improvement. Support broader marketing and business development activities as assigned. Qualifications Required Qualifications Bachelor’s degree in Marketing, Communications, Journalism, English, or a related field. Minimum of 3–5 years of experience in marketing, proposal coordination, or technical writing. Exceptional writing, editing, proofreading, and verbal communication skills. Strong organizational, time management, and project coordination abilities. Proficiency in Adobe InDesign and Microsoft Office Suite, including Word, Excel, and PowerPoint. Preferred Qualifications Experience within the architecture, engineering, or construction (AEC) industry. Knowledge of construction terminology, procurement processes, and proposal best practices. Experience with CRM systems and proposal management software. Exceptional attention to detail and commitment to producing high-quality deliverables. Ability to manage multiple projects and competing deadlines simultaneously. Strong interpersonal and collaboration skills with the ability to work effectively across teams.
