We are seeking a motivated and detail-oriented Assistant Property Manager to support the daily operations of a large retail center in Northeast Philadelphia.

This is an exciting opportunity to join a dynamic Property Management team; the role offers strong growth potential within a fast-paced commercial real estate environment.

What you'll do:

• Serve as the primary point of contact for tenants, handling phone calls, emails, and walk-in inquiries while dispatching maintenance requests and entering work orders into the building management system.
• Support the day-to-day operations of the property by coordinating tenant communications, maintaining records, ordering office supplies, and managing mail and general administrative tasks.
• Assist with tenant move-ins and move-outs, issue building access cards, coordinate building events, and prepare tenant notices and correspondence.
• Track and maintain Certificates of Insurance (COIs) for tenants and vendors, following up to ensure compliance with building requirements.
• Support the accounts receivable process by maintaining AR trackers, processing rent payments and deposits, preparing delinquency reports, sending rent statements and collection notices, and assisting with tenant follow-up.
• Assist the accounting team with tenant bill-backs by reviewing work orders, vendor meter readings, and supporting chargeback documentation.
• Process accounts payable by coding invoices, verifying supporting documentation, and initiating approval workflows for timely payment.
• Create and process purchase orders, ensuring all required documentation and approvals are complete.
• Assist the property management team with annual budget preparation, financial reporting, and administrative support related to property operations.
• Track insurance claims and assist with gathering documentation and coordinating claim-related communications.
• Partner closely with the Property Manager, engineering staff, vendors, and tenants to ensure efficient day-to-day building operations and exceptional tenant service.
• Take on additional projects and responsibilities as needed to support the property management team.

Who You Are:

• Bachelor's degree in a related field or equivalent experience/training required
• 2+ years of commercial property management or related experience
• Strong understanding of leases, lease terms, and critical dates preferred
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required
• Experience with Yardi Voyager strongly preferred
• Excellent organizational, communication, and customer service skills

Salary: $75,0000 - $85,000 base salary + benefits & annual bonus.
