Success Definition The Assistant Property Manager succeeds by supporting the management team with all assigned tasks. Metrics 1.All calls returned within 24 hours 2.Track Calls coming in (figure out how) Selected Day-to-Day Activities Office Management: Pick up and process mail from the post office, including driving to the PO Box; maintain office cleanliness; manage trash removal; and schedule monthly office cleaning. (PHL) Administrative Support: Handle all incoming calls and retrieve voicemails. Run the Pay or Quit report and prepare notices for posting. (PHL/PMG) Accounting: Generate checks for all bills and inspection fees, and process all incoming rent checks. (PHL) Rental Licensing: Complete applications, update the spreadsheet tracker, process checks and paperwork, and schedule all inspections with field support. Follow up on inspection results and schedule re-inspections for any failed properties. For all PM's. (PHL/PMG) Inspections: Coordinate all Section 8 inspections and provide updates on results to the Property Managers. (PHL/PMG) Legal: Complete court paperwork so PM's can attend Landlord/Tenant cases, and upload all court documents to the appropriate account. (PHL/PMG) Lease Renewals: Coordinate with Property Managers to confirm renewal terms and rent increases, issue renewals to tenants, and upload countersigned leases to the owner portal. (PHL/PMG) Leasing Coordination: Verify ID's, ensure all application paperwork is uploaded, conduct Landlord Reference calls, answer prospective tenant questions, and assist the Leasing Department when needed. Move-Out Coordination: Call residents five days prior to move-out to confirm move-out. For all PM's. (PHL/PMG) Utilities: Contact utility providers to set up or end services for vacant properties (typically billed to the owner). Insurance: Conduct owner and tenant insurance audits in AppFolio, and update insurance information when required. (PHL/PMG) Other Duties: Assist with additional tasks as assigned by the Property Managers and Leasing Department.
