Event Coordinator

Overview Systems Plus is seeking a part-time, hybrid event planning and coordination professional to support government and defense-related events. The role involves planning, coordinating, and managing all event aspects in collaboration with the event project team and DoD stakeholders. Position Position Title Part-Time, Hybrid Position Location — Tracking Code 01168 Daily Responsibilities Plan, coordinate, and manage all event aspects, including vendor management, budget and schedule tracking, venue selection, speaker and leadership coordination, contract negotiations, and compliance with DoD financial and scheduling constraints. Serve as the primary liaison between the event project team and event vendors (venue, A/V, catering, transportation, printing, etc.). Research, select, and negotiate with vendors to achieve the best value for the Government. Coordinate venues, speakers, panelists, and DoD leadership participants. Manage on-site operations, including registration, badging, session execution, breakouts, poster sessions, networking events, and overall event logistics. Conduct quality assurance reviews to ensure venue, technology, signage, and event readiness standards are met. Coordinate travel and lodging for fellows, speakers, DoD guests, and other participants. Assess event outcomes through attendee feedback, performance metrics, and lessons learned reporting. Provide attendee and fellow support, including travel coordination, payment processing, reporting, and day-to-day communication with fellows, sponsors, invited guests, and the event project team. Develop and maintain event materials and communications, including project plans, reports, presentations, agenda books, speaker biographies, signage, website/portal content, and other deliverables supporting program objectives. Facilitate event planning and stakeholder coordination by organizing meetings, preparing agendas, documenting and distributing meeting minutes, and providing regular status updates to project stakeholders. Collaborate with the event project team and stakeholders to ensure effective communication, seamless event execution, and a positive, mission-focused team environment. Support additional corporate initiatives and special projects as required. Qualifications 3-5 years of government project and event/conference management experience. Degree in business, management, or hospitality management, public relations, or a relevant field is preferred. Experience planning and coordinating meetings, workshops, conferences, and events. Experience supporting multiple projects, schedules, and budgets and tracking project progress and outcomes. Experience preparing reports, presentations, meeting materials, and other project documentation. Experience communicating with Government stakeholders and leadership. Proficiency with Microsoft Office and Adobe Acrobat Pro. Strong communication, analytical, organizational, and problem-solving skills. Ability to travel as required.
