Position Summary

LifeTree, a DDD agency, is seeking a detail-oriented, tech-savvy Provider Activation & Support Specialist (HR) to manage provider onboarding, system administration, and ongoing provider support.

This role is responsible for ensuring new providers are successfully activated, accurately entered into multiple systems, trained on required technologies, and supported throughout their employment. You will serve as a key resource for providers and staff by troubleshooting issues, maintaining accurate records, managing documentation, and ensuring compliance with established procedures.

This is a highly structured operations role that requires strong attention to detail, excellent customer service skills, and the ability to follow processes consistently and accurately.

Speed matters—but accuracy matters more.

What You'll Do

Provider Onboarding & Activation

  • Review new provider intake packets for completeness and accuracy
  • Verify required documentation and identify missing items
  • Track onboarding requirements through completion
  • Enter provider information into multiple systems accurately
  • Complete provider activation workflows according to established procedures
  • Ensure all required checks are completed prior to activation
  • Maintain organized records of onboarding progress and status
  • Coordinate internally to resolve documentation or compliance deficiencies

Provider & Staff Support

  • Respond to support requests related to timekeeping, visit verification, scheduling, and documentation
  • Troubleshoot and resolve basic technical issues within electronic systems
  • Edit, review, and approve service data, visit logs, and schedule updates as appropriate
  • Train and assist new providers on system usage and required processes
  • Communicate professionally and empathetically while resolving concerns
  • Work closely with administrative and field teams to maintain accurate provider information

Data Management & Compliance

  • Maintain accurate records across multiple software systems
  • Ensure documentation meets compliance and organizational standards
  • Monitor data quality and resolve discrepancies
  • Follow standardized workflows without skipping critical steps
  • Maintain confidentiality and professionalism when handling sensitive information
  • Support continuous process improvement through accurate reporting and recordkeeping

What Success Looks Like

  • Providers are activated efficiently and accurately without rework
  • Onboarding requirements are completed in the proper sequence
  • Missing items are identified early and tracked through resolution
  • Provider and staff support requests are resolved professionally and promptly
  • System data remains accurate, organized, and compliant
  • Documentation standards are consistently maintained
  • Clear records and tracking systems are kept up to date
  • Established procedures are followed consistently without missed steps

Required Qualifications

  • Experience in administrative support, operations, customer service, healthcare administration, HR support, or a related field
  • Strong computer and data entry skills
  • Proficiency in Microsoft Excel
  • Excellent organizational and documentation skills
  • Ability to learn and navigate multiple software systems
  • Strong written and verbal communication skills
  • Ability to follow structured procedures and workflows consistently

Preferred Qualifications

  • Experience with provider credentialing, onboarding, or activation processes
  • Familiarity with EVV systems or healthcare scheduling software
  • Human Services, healthcare, or DDD experience
  • Bilingual (English/Spanish) preferred
