Supply Chain & Order Support Specialist

Vaco has partnered with a manufacturing and distribution company on the northwest side of Indianapolis to hire a Supply Chain & Order Support Specialist. This is primarily a back-office, internal support role — you'll be the engine behind order entry, systems, and internal coordination, working closely with the technical and operations teams to keep things running smoothly behind the scenes.

We're looking for someone who is detail-oriented, organized, and comfortable moving fast inside ERP/CRM systems. This role leans more on problem-solving and critical thinking than high-volume customer interaction — you'll have some contact with forwarders and occasional customer calls, but the bulk of your day is internal: technical order entry, systems work, and supporting the team that handles direct customer communication.

Schedule: Mon – Fri, 8am–5pm
Salary: $50,000–$55,000 annual bonus
Location: 100% onsite at northwest side Indy office

What You'll Do

• Enter and manage technical orders within the ERP/CRM system with a high level of accuracy.
• Support internal communications across departments, including the technical team, sales, warehouse, and operations.
• Coordinate shipments, freight, and shipping documentation, including some direct contact with forwarders.
• Maintain customer and order information, ensuring systems stay accurate and up to date.
• Assist with inventory transactions, purchasing support, and operational documentation.
• Take occasional customer calls and emails as needed, though this is not the primary focus of the role.
• Support other departments as needed, including backup coverage during vacations and absences.
• Identify and help implement process improvements — this role calls for someone who takes ownership rather than just executing tasks.

What We're Looking For

• Previous experience in order processing, logistics, supply chain support, or back-office administrative work preferred.
• Strong technical aptitude and comfort working quickly across ERP/CRM systems and business software.
• Excellent organizational skills with the ability to prioritize and manage multiple tasks independently.
• Strong problem-solving and critical-thinking skills; highly detail-oriented.
• A proactive, ownership-driven mindset — someone who looks for ways to improve processes, not just complete them.
• Comfortable with occasional customer or forwarder contact, but primarily energized by internal, systems-driven work rather than high-volume customer service.
