Position: Accounts Payable & Accounts Receivable Specialist

Petro-Diamond Incorporated - a subsidiary of Mitsubishi Corporation in Japan - is a leading company in the trade, marketing and distribution of clean petroleum transportation fuels in Southern California.
- Verifies the accuracy of Trade & Non-Trade invoices, vouches, and prepares them for payment by either ACH, check, or bank wire.
- Match PDTC bills of lading (BOLs), cross-referencing terminal gauging/receipt records
- Assist in processing and paying all vendor invoices for both PDI and PDTC.
- Process check printing runs and handle employee expense reports for payment.
- Works with vendors as well as PDI and PDTC departments to resolve any inquiries and/or discrepancies.
- Maintain organized AP files using digital imaging, indexing, and designated server locations.
- Code and route invoices for approval according to established authorization limits.
- Provide backup support to the broader accounting department.
Accounts Receivable
- Raise customer invoices within Navision, ensuring system prices align with designated marketing prices.
- Coordinate with terminal operations to address volume or quality discrepancies impacting customer liftings.
- Address customer queries and proactively resolve account discrepancies.
- Issue customer credit memos and rebills as required.
- Provide backup support to the broader accounting department
Systems & Reconciliation
- Act as the primary daily user of Techoil and Navision for all AP and AR workflows.
- Reconcile prior-day Back Office billing data against Techoil and Avocet terminal records to identify gaps.
- Support the month-end closing process by ensuring all monthly Back Office BOLs (AP/AR) successfully integrated into the software.
- Assist in troubleshooting and testing financial systems when vendors roll out software updates or new versions.
- Assist with making GL entries as needed
Compliance/Industry-Specific
- Maintain audit-ready documentation for internal and external regulatory reviews.
- Gather, aggregate, and provide supporting documentation for auditors on demand.
- Prepare and submit mandatory government agency reports including the EIA, CEC, and EPA.
Ability to lift up to 25 pounds as needed for file management and office organization.
