We address the root causes of violence through culturally relevant, trauma-informed, and community-driven programs. Our mission is to empower individuals affected by violence while working toward safer, more informed, and connected communities. Through our holistic framework, we provide prevention education, therapeutic art, advocacy, and outreach initiatives that cultivate healing, accountability, and transformation. Position Overview The Operations Administrator plays a critical role in strengthening the infrastructure and internal systems of SUSO-NC. This position leads day-to-day administrative operations, organizational workflows, cross-team coordination, office management, and logistical support for programs, partnerships, and leadership. The Operations Administrator serves as the central hub for communications and internal processes—ensuring the organization runs efficiently and supporting the Co-Director and Leadership Team in achieving strategic, programming, and operational goals. This role is ideal for a systems-driven professional who thrives in fast-paced environments, excels at managing multiple priorities, and is passionate about helping mission-driven organizations move from reactive to strategic and sustainable operations. Key Responsibilities 1. Organizational Operations & Systems Management Lead day-to-day operations to ensure organizational functions are efficient and well-coordinated. Manage internal workflows, administrative procedures, and office systems. Support the implementation, documentation, and continuous improvement of operational infrastructure (e.g., filing systems, communications systems, software tools). Coordinate with the Co-Director to support operational planning and implementation linked to organizational goals. Serve as a primary point of contact for internal inquiries, external calls, and stakeholder questions. Support the Co-Director and Leadership Team through scheduling, correspondence, meeting preparation, and administrative follow-up. Maintain calendars, internal communications, and documentation for leadership-level activities. Prepare organizational materials, reports, and files as needed. 3. Program & Partnership Logistics Support program logistics including scheduling, materials, participant communications, space reservations, and follow-up tasks. Coordinate with program leads to ensure operational needs are aligned with programming efforts. Assist with maintaining partnerships by serving as a responsive, consistent point of contact for community stakeholders. 4. Office & Resource Management Oversee office functioning, including inventory, supplies, equipment, and workspace organization. Support vendor relations and operational purchasing. Maintain filing systems (digital and in-office) to ensure compliance and accessibility across teams. 5. Communications & Stakeholder Coordination Greet and support partners, program participants, and visitors in a professional and welcoming manner. Draft and send administrative communications on behalf of the organization. Ensure timely follow-up for inquiries related to operations, scheduling, and partnerships. Qualifications Education & Experience Bachelor’s degree in Business Administration, Nonprofit Management, Operations, or a related field (or equivalent professional experience). 3–5 years of experience in operations, administration, nonprofit management, or organizational logistics. Demonstrated experience supporting leadership-level functions and cross-team coordination. Experience building and strengthening internal systems and organizational processes. Highly organized with excellent attention to detail and follow-through. Strong written and verbal communication skills. Ability to manage multiple priorities and deadlines in fast-paced environments. Proactive and solutions-oriented with strong problem-solving abilities. Skilled in maintaining professionalism while interacting with diverse stakeholders. Proficient in Google Workspace, Zoom, basic office tools, and digital platforms for operations and communication. Culturally responsive and aligned with SUSO-NC’s mission and values.
