Accounts Payable/Administrative Assistant

Job Overview

Seeking an Accounts Payable/Administrative Assistant to join our team in Staten Island, NY. This individual will be responsible handling all AP duties as well as handling administrative tasks.

Requirements:

· 3-5 years’ experience in accounting and administrative work.

· Experience and proficiency in financial software: Sage/Timberscan.

· Strong organizational skills.

· Excellent communication skills.

· Ability to work on multiple projects simultaneously while maintaining accuracy.

AP Responsibilities:

  • Invoice Processing: Reviewing, verifying, and entering vendor invoices into accounting systems.
  • Three-Way Matching: comparing the invoices against the purchase order (PO) and revieing documents to ensure accuracy before payment.
  • Payment Disbursement: Preparing and executing payment runs via checks, ACH or wire transfers.
  • Vendor Management: Setting up new vendor profiles, maintaining tax documentation, and resolving payment disputes.
  • Reconciliations: Balancing the accounts payable subledger to the general ledger and reconciling vendor statements.

Administrative Responsibilities:

  • Purchasing: compare vendor prices and manager office / jobsite supply needs.
  • Communication: Answer all incoming company phone calls with excellent communication skills. Pass along messages accordingly.
  • Receiving Clerk: Responsible for handling daily mail distribution as well as maintaining office Fed Ex account.
