Customer Service Coordinator

Schneller LLC is seeking a highly organized and customer-focused Customer Service Coordinator to support customers within assigned territories. This role serves as an important connection between our customers, Sales Team, and internal departments, helping ensure responsive communication, accurate order and quote processing, and timely delivery of products and information.

The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced manufacturing environment. This position requires strong communication and problem-solving skills, as well as the ability to coordinate multiple priorities while providing an exceptional customer experience.

Key Responsibilities

• Provide responsive, professional customer service and serve as a key point of contact for customers within assigned territories.
• Accurately enter and maintain customer information, quotations, orders, and related documentation.
• Process and track customer quotes and orders while ensuring alignment with established pricing strategies, target margins, and program naming requirements.
• Communicate with customers regarding order acknowledgements, order status, shipping details, and other order-related information.
• Maintain accurate and organized electronic customer records, including lab projects, quotations, order acknowledgements, customer price lists, and standard customer notes.
• Create new item numbers and product descriptions according to established procedures.
• Coordinate internally to ensure timely completion of customer sample requests, product information requests, and customer orders.
• Develop and utilize project and program management tools to support cross-functional collaboration on major customer programs.
• Support Account Executives with material samples, material cross-reference lists, quotations, customer requests, and collection of past-due invoices.
• Work closely with Sales, Operations, Quality, Finance, and other cross-functional teams to support customer needs and company objectives.
• Provide backup support to Sales Team members by responding to emails, phone calls, and customer inquiries during absences or periods of high activity.
• Assist with international trade and export compliance activities, including audits, procedure development, documentation, and information gathering.
• Participate in special projects and take ownership of assigned actions through completion, including projects such as evaluating ERP system upgrades.
• Support management across company locations with additional projects and responsibilities as needed.

Qualifications

• 35 years of customer service, sales support, account coordination, or related experience; experience within a manufacturing environment is preferred.
• Bachelor's degree in Business or a related field preferred; some college education is beneficial but not required.
• Strong customer-service mindset with a commitment to responsive and professional communication.
• Excellent interpersonal, verbal, and written communication skills.
• Strong organizational skills with exceptional attention to detail.
• Ability to prioritize multiple responsibilities and follow projects through to completion.
• Strong problem-solving and critical-thinking abilities.
• Proficiency with Microsoft Office and experience working with ERP systems.
• Ability to learn and apply applicable customer specifications, industry standards, and testing requirements.
• French and/or Spanish language skills are strongly preferred but not required.
• Ability to work effectively both independently and as part of a cross-functional team.

This position may involve access to export-controlled information, products, or technology. To comply with applicable U.S. export control regulations, including ITAR 120.15 and EAR Part 772, candidates must be eligible to obtain any required authorization from the U.S. government.

• Ability to sit at a desk for extended periods and regularly use a computer and other office equipment.
• Frequent sitting, standing, walking, and use of fine motor skills.

• Occasional lifting of up to 30 pounds.
• Ability to work in both office and industrial/manufacturing environments.
• Infrequent international travel may be required.
