Medical Assistant – Medical Records & Administrative Support

Schedule: Monday–Friday, 7:00 AM–3:30 PM
Position Type: Full-Time

About the Opportunity

We are seeking an organized and detail-oriented Medical Assistant to join a busy healthcare team. This role is ideal for someone who enjoys working with medical records, supporting clinicians, and keeping high-volume documentation accurate and organized.

You will play an important role in managing patient and legal medical record requests, maintaining electronic health records, and providing administrative support to approximately 12 clinicians.

This is a fast-paced, high-volume position , so we're looking for someone who is highly organized, comfortable managing multiple priorities, and committed to maintaining patient confidentiality.

What You'll Be Doing

• Manage patient and legal requests for medical records and file reviews from receipt through completion.

• Retrieve, review, and appropriately redact confidential healthcare information before authorized release.

• Process approximately 40–50 patient and legal record requests per month .

• Scan, upload, and accurately index approximately 400 documents per week into electronic patient charts.

• Review documentation for accuracy, completeness, and correct placement within the medical record.

• Maintain strict compliance with HIPAA, PHI, and patient confidentiality requirements .

• Provide administrative and medical records support to approximately 12 clinicians .

• Assist with documentation, correspondence, records retrieval, and other administrative needs.

• Maintain organized electronic and physical patient files.

• Track outstanding record requests and follow up to ensure timely completion.

• Perform data entry, scanning, filing, and document-management duties.

• Communicate professionally with patients, clinicians, legal representatives, and internal departments.

• Assist with additional Medical Assistant and administrative responsibilities as needed.

What We're Looking For

• Previous Medical Assistant experience in a healthcare or clinical environment preferred.

• Experience with medical records, patient documentation, Release of Information (ROI), or legal medical record requests strongly preferred.

• Knowledge of HIPAA, PHI, and patient confidentiality requirements .

• Experience working with EMR/EHR systems .

• Strong computer, data-entry, scanning, and document-management skills.

• Excellent attention to detail and accuracy.

• Ability to successfully manage a high-volume workload and multiple deadlines .

• Strong organizational and time-management skills.

• Professional written and verbal communication skills.

• Ability to work independently while supporting a multidisciplinary clinical team.
