Basic Job Functions: The Division Administrator serves as the primary administrative resource for the division and plays a key role in supporting daily business operations. This position works closely with teammates, customers, and vendors to ensure efficient administrative processes and a positive experience for both internal and external stakeholders. The Division Administrator is responsible for a variety of administrative, HR support, and office coordination activities, including invoicing, visitor management, teammate onboarding support, event coordination, vendor communication, and general office administration. The successful candidate will build strong relationships across the organization and serve as a trusted point of contact for administrative support and office operations. Key Responsibilities:

The successful candidate will build strong relationships across the organization and serve as a trusted point of contact for administrative support and office operations. Key Responsibilities:
- Provide administrative support for day-to-day division operations.
- Serve as the primary point of contact for incoming calls, visitors, vendors, and general inquiries.
- Coordinate visitor access and maintain a professional reception experience.
- Process invoices and support communication between the division and the business office.
- Assist with new hire onboarding and orientation.
- Support recruiting activities by scheduling interviews and attending career fairs.
- Distribute incoming mail and coordinate outgoing correspondence.
- Order and maintain office and kitchen supplies.
- Assist with facilities administration and office organization.
- Coordinate meetings, luncheons, teammate recognition activities, celebrations, and company-sponsored events.
- Maintain office communications and bulletin boards.
- Coordinate acknowledgements and support for teammates and their families during significant life events.
- Support special projects and perform other duties as assigned.
- High school diploma or GED required.
- Associate degree preferred; equivalent work experience will be considered.
- Demonstrated proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Microsoft 365.
- Two or more years of administrative, office support, or customer service experience.
- Strong customer service, interpersonal, verbal, and written communication skills.
- Ability to manage multiple priorities, maintain attention to detail, and handle confidential information with discretion.
- Experience serving as an Executive Assistant, Office Manager, or similar administrative support role.
- Prior experience supporting Human Resources, Purchasing, or related business functions.
- Bachelor's degree.
