Job Summary

We are seeking a detail-oriented and organized Accounts Payable & Utilities Coordinator to join our team. This position is responsible for processing invoices, coordinating vendor payments, maintaining accurate records, and ensuring utility and service accounts are managed efficiently across a portfolio of properties.

The ideal candidate will have strong accounting, administrative, and organizational skills, be comfortable working with spreadsheets and property management software, and possess the ability to communicate effectively with vendors, managers, and internal teams.

Key Responsibilities

• Review, verify, and process accounts payable invoices and payments.
• Track invoices and payment schedules to ensure timely and accurate payment processing.
• Reconcile invoices and investigate discrepancies, duplicate billings, and incorrect charges.
• Maintain detailed records using Excel spreadsheets and accounting/property management software.
• Process utility invoices, including water, electric, gas, cable, internet, and telecommunications services.
• Coordinate and process invoices for pest control, trash services, landscaping, hardware suppliers, and other property-related vendors.
• Enter invoices and payment information into the company’s property management system.
• Assist with obtaining approvals and coordinating payment processing.
• Establish, transfer, connect, and disconnect utility accounts as properties are acquired, sold, or transitioned.
• Communicate with utility providers and vendors to resolve service issues, billing concerns, and account questions.
• Assist property managers and supervisors with vendor-related service matters.
• Maintain organized electronic and physical filing systems.
• Perform additional accounting and administrative duties as assigned.

Qualifications

• Minimum 2 years of Accounts Payable, Accounting Clerk.
• Strong proficiency in Microsoft Excel and Microsoft Office.
• Experience with property management software (Yardi experience preferred).
• Excellent attention to detail and accuracy.
• Strong organizational and time management skills.
• Ability to manage multiple deadlines and priorities.
• Professional communication and customer service skills.
• Ability to work independently while collaborating with a team.

Preferred Qualifications

• Property management industry experience.
• Experience handling utility accounts and vendor management.
• Knowledge of invoice processing and payment reconciliation.

Schedule

• Full-time
• Monday through Friday: 8:30 am to 5 pm
