Schedule

Schedule varies depending on physician assignment and clinic location.

Applicants must:

• Have reliable transportation to travel between our Elgin and Algonquin office locations.
• Be available to open the office as early as 7:30 AM .
• Be available to close the office as late as 6:00 PM .
• Be flexible with scheduling based on practice needs.
• Bilingual candidates are strongly encouraged to apply.

Position Overview

As a Receptionist / Certified Medical Assistant, you will serve as one of the first points of contact for our patients while also providing outstanding clinical support to our physicians and certified nurse midwives. This role requires excellent communication skills, attention to detail, flexibility, and a genuine passion for women's healthcare.

You will split your responsibilities between front office operations and clinical patient care, ensuring every patient receives compassionate, efficient, and high-quality service from check-in through their clinical visit.

Front Office Responsibilities

• Welcome patients in a professional and friendly manner.
• Answer high-volume multi-line telephone calls promptly and courteously.
• Schedule office visits, procedures, ultrasounds, and follow-up appointments.
• Verify insurance eligibility and obtain referrals when necessary.
• Register new patients and update demographic and insurance information.
• Collect copayments and patient balances.
• Scan and upload documents into the Electronic Medical Record (ECW preferred).
• Maintain patient confidentiality in compliance with HIPAA regulations.
• Coordinate communication between patients, providers, pharmacies, hospitals, and outside physician offices.
• Assist with general administrative duties to ensure smooth daily office operations.

Clinical Medical Assistant Responsibilities

• Room patients efficiently while obtaining vital signs, weight, blood pressure, and chief complaint.
• Update medical history, medications, allergies, and health questionnaires.
• Prepare examination rooms and maintain adequate medical supplies.
• Assist physicians and certified nurse midwives during examinations and office procedures.
• Administer injections, and perform laboratory specimen collection as permitted.
• Perform in-office testing including urinalysis, urine pregnancy testing, and specimen processing.
• Clean, disinfect, and sterilize instruments according to infection control standards.
• Provide patient education and discharge instructions.
• Document all patient care accurately within the electronic medical record.

Triage & Care Coordination Responsibilities

As part of our clinical team, you will also assist with patient triage and care coordination by:

• Answering incoming clinical phone calls and identifying each patient's primary concern.
• Assessing urgency using established OB/GYN clinical protocols.
• Serving as the liaison between patients, providers, and nursing staff.
• Escalating urgent concerns such as decreased fetal movement, heavy bleeding, severe pelvic pain, elevated blood pressure concerns, or pregnancy complications to the appropriate provider immediately.
• Accurately documenting patient symptoms, pregnancy history (G/P, LMP, Gestational Age), and clinical information within the electronic health record.
• Communicating provider recommendations, laboratory results, medication instructions, and follow-up plans to patients.
• Assisting with prescription refill requests, pharmacy communication, and prior authorizations under provider supervision.
• Ensuring timely follow-up while maintaining excellent patient communication and service.

Qualifications

• Certified Medical Assistant (CMA, RMA, CCMA, or equivalent) preferred.
• Previous experience in an OB/GYN, Women's Health, Family Practice, or busy medical office preferred.
• Experience with electronic medical records (ECW preferred).
• Knowledge of medical terminology and women's health preferred.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to multitask in a fast-paced environment.
• Strong customer service skills with a compassionate and professional demeanor.
• Ability to work independently and collaboratively as part of a healthcare team.
