About the Role
As a Program Coordinator , you will be a vital leader, overseeing the comprehensive operations of our group homes and day services. Your primary responsibility will be to ensure strict compliance with all regulatory requirements while championing a person-centered approach to care. You will function as a program lead, driving program development, providing essential training, and offering expert supervision and guidance to our dedicated staff.
Key Responsibilities
- Leadership & Staff Management:
- Oversee comprehensive staff training and ongoing performance evaluations, implementing disciplinary actions when necessary.
- Serve as a principal supervisor for all assigned staff, fostering a positive and productive work environment.
- Provide clear, fair, and consistent expectations, supervision, and management, ensuring effective daily scheduling and staffing with House Managers.
- Act as a role model , consistently treating clients, coworkers, and all stakeholders with respect and dignity.
- Program Development & Oversight:
- Develop and revise individualized programs that create meaningful opportunities for the people we serve.
- Coordinate engaging day services and church attendance in strict accordance with ICF/MR or HCBS regulations.
- Coordinate the admission of new clients, providing thorough orientation to clients, advocates/guardians, and families, and manage client discharges.
- Regularly conduct announced and unannounced visits to all client and residential sites to ensure quality of care and compliance.
- Compliance & Client Advocacy:
- Ensure meticulous handling and record-keeping of client personal monies and property, serving as a designated money manager for clients.
- Oversee accurate medication administration records.
- Refer any restrictions or alleged violations of rights to the Office of Client Advocacy.
- Assist clients in obtaining and maintaining essential services and benefits (e.g., SSI, Medicaid).
- Complete and maintain confidential client files in adherence to agency policy, Department of Human Services (DHS), Department of Health (DOH), and Accreditation Council on Services for People with Developmental Disabilities (ACDD) requirements.
- Review incident/accident reports and allegations of rights violations, making recommendations and addressing concerns with the Executive Director.
- Promptly report any suspicion of client rights violations, neglect, abuse, or exploitation to the Executive Director and complete all necessary reports.
- Maintain the confidentiality of all client information, both oral and written, in accordance with applicable laws and policies.
- Operational & Financial Stewardship:
- Maintain accountability for budgets, including petty cash, supplies, and overtime.
- Ensure the cleanliness and safety of all environments under your responsibility. Report maintenance needs to the Facility Maintenance Specialist and all safety concerns to the Executive Director in a timely manner.
- Communication & Collaboration:
- Maintain ongoing and transparent communication with families and guardians, coordinating quarterly meetings to keep them informed of individual progress.
- Coordinate frequent staff meetings to ensure staff receive updated information on program activities.
- Serve as a liaison for state-level meetings (e.g., IP, PIP, Team meetings).
- Serve as a representative for community organizations and/or committees as assigned.
- Availability:
- Participate in an on-call rotation to address emergent needs.
What You'll Bring
- Knowledge & Expertise:
- Deep understanding of company policies and procedures, as well as habilitative services for individuals with developmental disabilities.
- Comprehensive knowledge of applicable regulatory requirements and accreditation standards (ICF/MR, HCBS).
- Familiarity with medication administration guidelines.
- Understanding of general human development and psychology, including factors affecting human behaviors and learning.
- Knowledge of pertinent state and federal regulations related to active treatment.
- Proficiency in support/intervention techniques.
- Basic cooking knowledge and skills to follow menus and recipes.
- Skills:
- Exceptional leadership, supervision, and staff training skills, with the ability to provide positive guidance.
- Strong planning, problem-solving, and organizational abilities.
- Excellent written and verbal communication skills, with the ability to compose clear, concise memorandums and incident reports (with correct grammar and sentence structure).
- Proficiency in recognizing and utilizing alternative communication methods (e.g., pictures, symbols, rudimentary sign language) for non-verbal or hearing-impaired individuals.
- Skill in prioritizing multiple tasks and managing competing demands effectively.
- Proficiency in using standard office equipment, including computers and various software applications.
- Ability to develop innovative approaches to implementing services.
- Skill in collecting and recording data/information as required.
- Ability to handle sensitive situations with empathy and discretion.
- Administer CPR and basic first aid.
- Perform household cleaning tasks, including moving furniture and appliances (pushing, pulling, lifting, bending, kneeling, stooping, reaching).
- Manage unpleasant personal care tasks with sensitivity and caring, and de-escalate maladaptive (sometimes aggressive) behaviors while remaining calm and composed.
- Abilities:
- Ability to read, comprehend, and effectively communicate in English.
- Maintain strict confidentiality of all sensitive information.
- Work independently while also contributing constructively to a team-oriented and consultative approach to training and service delivery.
- Maintain a patient and positive attitude, even in challenging situations.
- Work irregular hours, including overnight stays when required.
- Perform at least medium work (lifting/exerting up to 50 pounds occasionally, 10-20 pounds frequently, and up to 10 pounds constantly).
- Possess a valid driver's license and the ability to drive.
- Must be 21 years of age or older.
Education & Experience
- A Bachelor's Degree in Psychology, Special Education, Social Work, or a related field is preferred.
- A minimum of four years of experience working directly with individuals with developmental disabilities may be substituted for a degree.
