Position Overview

The Mailroom Supervisor is responsible for overseeing the daily operations of the corporate mailroom for AKAM's NYC. office. This role ensures that all incoming and outgoing mail, packages, documents, and interoffice correspondence are processed accurately, securely, and efficiently.

The Mailroom Supervisor will manage mailroom, coordinate courier and delivery services, maintain supplies and equipment, and provide responsive service to employees, property teams, vendors, and visitors.

• Supervise, train, schedule, and provide daily direction to mailroom employees.

• Oversee the receipt, sorting, distribution, and delivery of incoming mail, packages, checks, invoices, and interoffice correspondence.

• Ensure outgoing mail and packages are accurately prepared, labeled, documented, and processed on schedule.

• Coordinate deliveries and pickups with USPS, FedEx, UPS, messenger services, couriers, and other vendors.

• Maintain accurate tracking records for certified, registered, overnight, and time-sensitive deliveries.

• Ensure sensitive documents, checks, keys, and confidential materials are handled securely.

• Serve as the primary point of contact for employees and departments regarding missing, delayed, or urgent deliveries.

• Establish and maintain efficient mailroom procedures, service standards, and internal controls.

• Maintain mailroom equipment and coordinate repairs or service when needed.

• Monitor inventory and order mailroom, shipping, and general office supplies.

• Review courier, postage, and shipping invoices for accuracy and identify opportunities to control costs.

• Maintain a clean, safe, organized, and professional mailroom environment.

• Partner with Reception, Office Management, Accounting, Property Management, and other departments to support daily operations.

• Assist with office moves, special deliveries, large mailings, document distribution, and other administrative projects.

• Follow all company policies and applicable safety, privacy, and security procedures.

• Perform additional duties and special projects as assigned.

• High school diploma or equivalent required; associate degree preferred.

• At least three years of mailroom, shipping and receiving, facilities, or office-services experience.

• Previous supervisory or team-lead experience strongly preferred.

• Experience working in a corporate office, property management company, real estate organization, or similarly fast-paced environment is a plus.

• Familiarity with USPS, FedEx, UPS, courier services, postage systems, and package-tracking procedures.

• Strong organizational skills and attention to detail.

• Ability to prioritize multiple requests and meet time-sensitive deadlines.

• Strong communication, customer-service, and problem-solving skills.

• Professional judgment when handling confidential or sensitive materials.

• Basic proficiency with Microsoft Outlook, Word, Excel, and electronic tracking systems.

• Dependable, punctual, and able to work collaboratively with employees at all levels.

• Ability to stand, walk, bend, and move throughout the office for extended periods.

• Ability to lift and transport packages weighing up to 40 pounds, with or without reasonable accommodation.

• Ability to safely operate mailroom and shipping equipment.
