Logistics Manager

The Logistics Manager is responsible for coordinating the day-to-day staffing, transportation, personnel movement, and operational logistics for a residential treatment center serving adolescent residents. This position plays a critical role in ensuring that all program locations are appropriately staffed and that essential personnel, resident mail and packages, supplies, and other operational needs are efficiently coordinated across five shared program sites.

The Logistics Manager oversees direct care staffing schedules to maintain appropriate coverage 24 hours a day, 7 days a week, 365 days a year, while also supporting recruitment, interviewing, hiring, onboarding, and initial training of new employees. The ideal candidate is highly organized, dependable, responsive, and comfortable managing changing priorities in a fast-paced residential environment.

This position requires strong communication skills, sound judgment, attention to detail, and the ability to respond effectively to staffing and logistical needs as they arise.

Staffing & Scheduling

• Develop, maintain, and manage schedules for direct care staff across five shared program sites.
• Ensure adequate staffing coverage 24/7/365, including weekends, holidays, overnight shifts, and other high-coverage periods.
• Monitor staffing levels and identify potential coverage gaps before they affect program operations.
• Coordinate shift changes, call-offs, PTO, leave, overtime, and other staffing adjustments.
• Arrange appropriate coverage for unexpected absences and emergencies.
• Coordinate the movement and reassignment of personnel between program sites based on operational and staffing needs.
• Maintain accurate staffing schedules and communicate changes promptly to affected employees and leadership.
• Work closely with program leadership to anticipate staffing needs and address recurring coverage concerns.
• Maintain appropriate records related to schedules, staffing assignments, attendance, and coverage

Recruitment, Hiring & Onboarding

• Create and maintain job postings for direct care and other designated operational positions.
• Post open positions to appropriate employment platforms and recruiting channels.
• Review applications and assist with identifying qualified candidates.
• Conduct initial interviews and participate in the selection process for open positions.
• Coordinate interviews between candidates and appropriate department leaders.
• Assist with reference checks, background checks, and other pre-employment requirements as assigned.
• Extend or coordinate employment offers in accordance with organizational procedures.
• Coordinate new-hire onboarding and ensure required documentation is completed.
• Conduct or coordinate initial training for new direct care employees.
• Ensure new employees understand organizational expectations, policies, procedures, scheduling practices, and site-specific requirements.
• Track onboarding progress and communicate outstanding requirements to new employees and leadership.
• Help new employees successfully transition into their assigned program and schedule.

Operational Coordination

• Serve as a central point of contact for day-to-day staffing and logistical needs.
• Respond promptly to unexpected operational challenges, including staffing shortages, call-offs, transportation issues, and site coverage needs.
• Coordinate with Program Directors, Supervisors, Human Resources, and other leadership to maintain smooth operations.
• Maintain organized records, schedules, staffing documents, and other operational materials.
• Assist leadership with identifying opportunities to improve staffing efficiency and operational processes.
• Develop and maintain procedures that promote consistency and accountability across all five program sites.
• Maintain confidentiality regarding employee and resident information.
• Perform other duties and special projects as assigned by leadership.

Work Environment

This position operates in a 24/7 residential treatment environment and requires regular coordination across five program sites. The Logistics Manager may be required to work outside of traditional business hours to address staffing shortages, urgent operational needs, employee call-offs, or other time-sensitive issues.

The position may require occasional evenings, weekends, holidays, and on-call availability depending on organizational needs.

The role involves regular interaction with direct care staff, supervisors, candidates, residents, and other members of the treatment team. The employee must be able to maintain professionalism and composure in a dynamic environment where priorities may change quickly.
Physical Requirements

• Ability to travel between five program locations as needed.
• Ability to sit, stand, walk, and move throughout residential and office environments.
• Ability to use a computer and other office equipment for extended periods.
• Ability to lift and carry packages, mail, supplies, or other materials as required by the position.
• Ability to perform duties safely in a residential treatment environment.
