Accounts payable specialist

We are seeking a detail-oriented and highly organized Accounts Payable Specialist to support our Project, Budget, and Logistics teams. This role is responsible for providing day-to-day financial, operational, and administrative support, including purchase order management, invoice processing, contractor onboarding, inventory coordination, and equipment maintenance oversight.

The ideal candidate will have organizational skills, experience working with budgets and ERP systems, and the ability to manage multiple priorities in a fast-paced environment while ensuring compliance with corporate policies and reporting standards.

salary: $30 - $34 per hour

Responsibilities

• Support departmental projects from planning through completion, including tracking budgets, expenses, timelines, and deliverables.
• Prepare reports, presentations, and project updates while coordinating improvement initiatives with department leaders.
• Assist with investment budget planning, ROI analysis, budget monitoring, and financial approvals through HQ finance and NERP systems.
• Review and verify documentation for IR/GR payment processing, resolve PO discrepancies, and process invoices and GR entries in ERP systems.
• Create purchase orders, validate vendor invoices, maintain financial records, and support accounting data analysis and reporting.
• Coordinate vendor onboarding, including W-9s, NDAs, tax documentation, and file reviews.
• Manage contractor onboarding activities, including security access and badge requests.
• Support operational tools and applications, including mobile devices, scanners, radios, RMTS, Mobile NERP, and Package Tracker systems.
• Oversee maintenance scheduling and vendor coordination for forklifts, pallet jacks, PMHE trucks, propane inventory, and safety inspections.
• Track office and operational supply inventory, place orders, and support safety, repair, and facility-related purchases.
• Provide general administrative and operational support to the Logistics Department and assist with additional projects as assigned.
