Operations Manager - Night Shift

Summary

The Operations Manager leads TBSS operations in a safe, reliable, efficient, and professional manner. This position manages daily and shift operations, coordinates employees and operational resources, maintains strong customer relationships, and ensures work is completed according to customer and company expectations. The Operations Manager continually evaluates operations to reduce safety risks, strengthen the team, improve service and efficiency, control costs, and identify opportunities for business growth.

Essential Functions

Safe Operations

1. Maintain compliance with company and customer safety, security, and operational requirements.
2. Develop, implement, and continuously improve the TBSS safety program.
3. Identify and address hazards, near misses, and risks, and investigate accidents, injuries, or property damage.
4. Initiate and conduct ongoing job-specific, safety, and customer-specific training.
5. Serve as the primary contact for accidents, on-site mishaps, and equipment-quality concerns.
6. Recommend policy, planning, or operational changes that improve safety and reduce risk.
7. Hold supervisors and employees accountable for following safety requirements.

Shift Execution and Communication

1. Manage TBSS operations during the assigned shift.
2. Serve as the primary operational contact for customers, vendors, employees, and business partners.
3. Monitor the TBSS main phone line, company email, and assigned personal phone line during the shift.
4. Promptly respond to orders and requests and ensure information is communicated to Supervisors.
5. Use available information and resources to build, update, and regularly distribute the job schedule.
6. Maintain awareness of mooring, waste, delivery, and all other TBSS jobs.
7. Prepare the next shift for success and communicate complete and accurate information to your relief.
8. Assist with any TBSS job requiring additional labor, support, or supervision.

Customer and Service Excellence

1. Understand customer requirements, facilities, job expectations, and operational challenges.
2. Provide supervisors and employees with clear instructions and job-specific guidance.
3. Regularly attend TBSS jobs to spot-check employee service, safety, efficiency, and alignment with company values.
4. Ensure services are completed accurately, professionally, and on time.
5. Build and maintain positive relationships with terminal personnel, pilots, vessel crewmen, vendors, and other stakeholders.
6. Respond promptly to customer concerns involving service, employee performance, accidents, or on-site incidents.
7. Resolve service problems promptly and maintain customer confidence through reliable communication and follow-through.

Supervisory and Operational Accountability:

1. Schedule sufficient manpower to meet operational needs without unnecessary overtime or excess staffing.
2. Lead and direct a workforce of approximately 20 or more employees.
3. Manage controllable labor and operating expenses within the approved budget.
4. Ensure working materials, vehicles, trailers, equipment, and inventory are available and operational.
5. Address maintenance, staffing, and inventory concerns before they disrupt service.
6. Analyze workflows, staffing and workplace needs, and equipment layout and implement appropriate improvements.
7. Regularly review operational policies and procedures to reduce expenses, improve efficiency, and support profitability.
8. Assist the General Manager with forecasting, annual budget analysis, and long-term resource planning.

Business Management and Growth:

1. Lead, coach, train, and develop Supervisors, Team Leads, and all employees.
2. Set clear performance expectations and hold Supervisors and employees accountable for assigned responsibilities.
3. Complete required employee evaluations, performance reviews, and coaching.
4. Work with supervisors to interview, select, hire, orient, and train employees.
5. Plan and lead monthly employee meetings.
6. Develop and conduct ongoing training for new and existing employees.
7. Motivate employees to take pride and ownership in their work.
8. Identify and submit recommendations that improve safety, scheduling, service, efficiency, or profitability.
9. Identify opportunities to expand TBSS’s presence and services within the maritime industry.
10. Support company strategic initiatives, mission, values, and growth goals.

Documentation and Compliance

1. Learn and use company software to complete required tasks.
2. Promptly review mooring, waste, delivery, and other job records for accuracy and save required operational records to the designated server location.
3. Submit relevant job documentation to accounting by the end of each shift.
4. Maintain required schedules, inspection records, training records, and other operational files.
5. Help ensure TBSS business activities and employment practices comply with applicable government requirements.
6. Communicate and cooperate with agencies that audit or request information concerning TBSS operations or employees.

Work Schedule and Availability

1. Manage all operations during the assigned 12-hour shift each day and will be on site for no less than 6 hours per day, Monday through Friday.
2. Additional availability may be required for days, nights, weekends, holidays, emergencies, or changing vessel schedules.
3. Maintain sufficient availability by phone outside regular working hours as required by the company’s operational coverage expectations, except while on approved PTO.
4. Regular travel between terminals, customer facilities, and TBSS job locations is required.

Perform other duties and projects as assigned.

Qualifications

Required Qualifications

1. Minimum of five years of leadership experience or equivalent relevant experience
2. Minimum of five years of customer-service experience
3. Proven ability to lead skilled and unskilled employees in an industrial environment
4. Current TWIC card and Tampa Port Pass are required, or ability to qualify for and maintain both upon hire
5. Proficiency with current Microsoft Office
6. Strong written and verbal communication skills
7. Strong interpersonal skills and the ability to communicate effectively with individuals from varied backgrounds and nationalities
8. Strong analytical, organizational, and problem-solving skills
9. Ability to manage multiple priorities while maintaining accuracy and timely follow-through
10. Ability to anticipate problems, take ownership, and lead the team through operational challenges
11. Ability to apply experience and sound judgment when planning work and accomplishing company goals
12. Valid driver’s license with an acceptable driving record
13. Must be authorized to work in the U.S.

Preferred Qualifications

1. Associate degree or higher
2. Port, maritime, vessel-service, or related industrial experience
