Role Description The Purchasing and Warehouse Specialist is a full-time, on-site role based in East Rochester, NY. This role is responsible for managing purchasing activities, including creating and tracking purchase orders, coordinating with vendors, and ensuring timely delivery of materials and equipment. The specialist will oversee warehouse operations such as receiving, inspecting, labeling, organizing, and inventorying products used in IT and AV projects. Day-to-day tasks include reconciling shipments with purchase documentation, monitoring stock levels, preparing items for project deployment, maintaining accurate records in inventory and purchasing systems, and managing returns/RMAs. The role also supports cross-functional teams by responding to internal requests, resolving discrepancies with suppliers, and contributing to process improvements that enhance efficiency and accuracy.

Qualifications

• Strong knowledge of purchasing processes, including purchasing procedures, purchase management, and purchase orders.
• Demonstrated experience in purchasing, with solid analytical skills to compare quotes, manage costs, and support data-driven decisions.
• Experience with inventory control, warehouse operations, and basic logistics or shipping/receiving practices.
• Proficiency with business software (e.g., ERP or purchasing systems, inventory tools, and spreadsheets) and accurate data entry skills.
• Excellent organizational, time management, and follow-through skills; ability to manage multiple priorities in a fast-paced environment.
• Effective written and verbal communication skills and the ability to build respectful, professional relationships with vendors and internal teams.
• High attention to detail, reliability, and a commitment to safety and quality standards.
• Previous experience in technology, AV, or IT-related distribution or project-based environments is preferred.
• 3+ years of experience in purchasing, inventory management, warehouse operations, or related operations role
• High school diploma or equivalent required; additional education or certifications in supply chain, logistics, or business are a plus.
• Physical Requirements: Ability to lift up to 50 lbs, ability to stand, walk, bend, and work in a warehouse environment, combination of warehouse, desk and coordination work
