Administrative Coordinator

PNNL

Administrative Support Staff

The Energy Processes and Materials Division within the Energy and Environment Directorate is seeking a highly motivated individual to support the team as part of our administrative staff. This role provides administrative support to scientific and engineering staff, as well as to non-staff and visitors. The position receives direction from the group leader and the division administrator. The ideal candidate shows strong customer service, teamwork, dependability, and integrity, supporting PNNL's commitment to scientific excellence and national impact.

Responsibilities:

  • Provide general administrative and office support.
  • Manage calendars and scheduling for managers and staff.
  • Manage email with speed and accuracy.
  • Maintain office supplies for group, inventory and order when necessary.
  • Support travel requests, booking, and expense reporting. This is a travel-heavy group.
  • Coordinate interviews, hiring processes, and onboarding of new hires
  • Welcome, receive, and direct visitors.
  • Prepare documents using word processing tools, create spreadsheets and presentations.
  • Maintain and organize electronic files.
  • Develop required documentation as needed and respond to questions from internal and external stakeholders.
  • Provide responsive support for purchasing and ordering needs, including purchase requests, placing orders, and reconciling orders in line with PNNL policies.
  • Serve as a member of the administrative team within the Energy Processes and Materials Division.

Qualifications:

Minimum Qualifications:

  • High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-
  • AA degree or higher and 4 years of relevant experience in an administrative environment
  • Experience in planning meetings and coordinating travel

Preferred Qualifications:

  • Basic understanding of department and company policies, procedures, and practices.
  • Ability to explain standard policies and procedures to different audiences.
  • Strong written and verbal communication skills.
  • Working knowledge of Microsoft Office and other commonly used computer applications.
  • Ability to learn and use internal software programs and internal lab business systems.
  • Strong attention to detail, with a focus on accuracy.
  • A service-focused, team-oriented approach, with a high level of professionalism.
