JOB SUMMARY:

You will report to the Engineering Manager 

In this role, you will provide high-level administrative support and project management leadership across the Operations and Engineering departments, ensuring initiatives are aligned with business objectives and translated into effective execution. The highlight of this role will be to work within external and internal data platforms and systems to input and report data. This position combines strategic administrative support, data analytics, cross-functional communication, and workflow development, requiring an independent thinker who proactively identifies opportunities, develops solutions, and drives implementation with a strong bias for action.

The ideal candidate demonstrates exceptional organizational and project management skills, sound independent judgment, attention to detail, and the ability to prioritize and execute multiple initiatives in a fast-paced, confidential manufacturing environment. ESSENTIAL FUNCTIONS:

• Coordinate calendars and communications across multiple departments to align with goals and decision making
• Prepare and maintain daily and weekly materials used for operational visibility and decision-making. This includes organizing calendars, performance metrics via internal and external systems, project trackers and SharePoint documentation into clear, reliable reporting tools.
• Lead and support initiative tracking, progress against plan, facilitate contingencies to meet timelines and accountability for continuous improvements. 
• Prepare and edits correspondence, reports, presentations, and other confidential documents
• Serve as a liaison between executives, department heads, and internal/external stakeholders.
• Support supervisors and management in staff performance reviews using measures and protocols
• Bridge staffing efforts e.g., recruitment and onboarding for new hires
• New hire and ongoing training and development including safety and OSHA compliance
• Act as the primary point of contact for departments seeking support from the Engineering and Operations Managers
• Track and prioritize tasks, deadlines, and deliverables on behalf of leadership
• Maintain organized electronic and physical filing systems and databases
• Prepare and reconcile expense reports.
• Assist with special projects, process improvements as assigned.
• Coordinate and support customer and vendor visits, ensuring a professional and positive experience.
• Maintain a clean, safe, and organized work environment that promotes efficiency and safety

JOB QUALIFICATIONS:

• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with collaboration tools (e.g., Teams) a plus
• At least 1-2 years working in a manufacturing environment
• Willingness to learn new processes and systems related to manufacturing
• Strong written and verbal communication skills
• Exceptional organizational and time-management abilities
• High level of professionalism and discretion
• Ability to work independently and adapt to changing priorities
• Strong attention to detail and accuracy
• Ability to work independently with critical thinking and collaboratively among teams

Emergent Understanding of OSHA, ISO, Quality and Safety methods or ability to learn
