Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.

Speedy Rooter Inc. is looking for a dependable, organized, and customer-focused Dispatcher to manage incoming service calls, coordinate technician schedules, and keep jobs on track from the first phone call through completion.

You will be the main connection between our customers, field technicians, and office staff. We are looking for someone who communicates clearly, takes ownership of their responsibilities, and can adjust priorities without losing track of the details.

Key Responsibilities

• Answer calls and coordinate service requests. Handle incoming calls professionally and collect complete, accurate information, including customer names, phone numbers, service addresses, descriptions of the issue, on-site contacts, and access instructions. Ask appropriate questions so technicians arrive with a clear understanding of the service request.
• Schedule appointments and dispatch technicians. Assign jobs based on technician availability, location, experience, and equipment needs. Organize service calls to reduce unnecessary travel and avoid scheduling conflicts. Confirm that technicians receive the correct work orders and job-specific instructions.
• Manage the schedule throughout the day. Track technician availability, arrival times, job progress, and completion status. Adjust assignments when emergency calls, delays, cancellations, or additional work affect the schedule. Communicate changes promptly to everyone involved.
• Keep customers informed. Confirm appointments, provide realistic arrival windows, and notify customers when technicians are on the way. Follow up when delays occur rather than waiting for the customer to call. Maintain a professional, helpful approach when handling urgent requests or frustrated customers.
• Provide clear communication and support to technicians. Relay customer concerns, service details, access requirements, and scheduling changes accurately. Coordinate with office staff and management when technicians need additional information, equipment, authorization, or scheduling assistance.
• Maintain accurate work orders and customer records. Enter service requests, appointment details, customer communications, and dispatch notes into the company’s scheduling system. Keep job statuses current and document changes, cancellations, pending approvals, and follow-up needs so nothing is overlooked.
• Coordinate job completion and follow-up. Confirm whether work is complete or requires a return visit, additional service, or management review. Follow up with technicians for missing service notes, photos, or other documentation needed by office staff to finalize records and prepare billing.
• Address concerns and close out the day properly. Handle routine scheduling issues within company guidelines and promptly escalate complaints, unresolved service concerns, or conflicts requiring management attention. Before the end of each shift, update open jobs, identify pending requests, and communicate outstanding items to the appropriate team member.

Qualifications

• Strong communication and customer service skills. Clear telephone etiquette, professional written communication, and the ability to listen carefully, ask useful questions, and provide accurate information.
• Excellent organization and attention to detail. Ability to manage multiple calls, technician assignments, and customer requests while maintaining accurate records and following through on commitments.
• Computer proficiency. Comfortable using email, entering data, navigating multiple screens, and learning scheduling, dispatch, and customer-management software.
• Dependability and sound judgment. Consistent attendance, punctuality, teamwork, and the ability to remain composed when schedules change or urgent requests come in.

Previous dispatching, scheduling, or customer service experience is preferred. Experience with a plumbing, drain-service, HVAC, electrical, or other field-service company is a plus. Familiarity with service work orders, technician routing, and equipment coordination is helpful.

What Success Looks Like

Customers know what to expect, technicians have the information they need, and service requests receive timely follow-through. The daily schedule stays organized, records remain accurate, and delays or problems are communicated early. You take responsibility for keeping everyone informed and making sure pending work does not fall through the cracks.
