SENIOR CLERICAL AIDE
Under general supervision, performs moderately difficult and responsible clerical work, requiring some independent judgment and application of established office or school policies and procedures. Incumbent performs related work as required.
EXEMPLARY DUTIES/RESPONSIBILITIES
Acts as receptionist in answering telephones greeting visitors; answers questions concerning school or district procedures or directs the public to the appropriate individual; screens visitors to the school or office; sorts and distributes mail; arranges appointments; enrolls and withdraws students from school, i.e., requesting and sending appropriate records; prepares and distributes or maintains all related entry and exit forms; maintains records of departmental personnel, their locations and telephone numbers and records and relays messages for busy or unattended extensions.
Types routine correspondence, reports, forms and notices from rough or plain copy, or manual dictation, or from own composition; proofreads; prepares and assembles materials of a varied nature; organizes and maintains filing systems and records; performs simple research in applying background information or files to assist in answering inquiries.
May assist in the preparation of a variety of federal, state and district reports requiring the assimilation of information and statistical data; performs student attendance office duties, such as admitting tardy students, compiling daily attendance sheets, and referring or contacting homes of the absent students; posts a variety of information to permanent records, including attendance and grades.
In addition to the above, incumbents may be assigned to perform duties relating to Infinite Campus data clean-up as required, based upon IT and/or NDE reports for each school site; Infinite Campus input to ensure that all fields are completed for enrolled students; request of records support for materials to be provided to parents/families of enrolled students; ensure that the primary home language is correctly entered in Infinite Campus; possible data element verification connected to Pulliam implementation; provide support for the Count Day Dry Run; provide support to ensure that Count Day reports are submitted on time and accurately; provide support for various mandatory state reports; balance school reports that are required monthly; and provide support to generate the Master Register of the school.
In addition to the above, those incumbents assigned by the District to perform formal bilingual duties, may perform the following: Performs various verbal translations, and may perform basic written translations, as needed; answering the telephone and taking messages; acting as a point of contact for parents, students, and community representatives; greeting students, staff, and parents and providing necessary assistance; assisting in attendance responsibilities; assisting in interpreting responsibilities relative to student discipline issues, parent conferences, Individual Education Plan meetings for students, Open Houses, and Parent Meetings; policy and procedure communications to parents and students; assisting administration and staff in problem solving, as needed; and functioning as an interpreter for parents when dealing with issues of concerns by parents.
EMPLOYMENT STANDARDS
Education/Experience: Any combination equivalent to education and experience that would likely provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and skills would be:
- Equivalent to a high school diploma;
- Two (2) years of progressively responsible clerical experience,
Skill at: Using good judgment in applying established guidelines to solve work problems; working independently in completing assigned tasks and in maintaining the standard correspondence, files and reports of the office; providing good and responsive customer service; establishing and maintaining effective working relationships; communicating with diverse groups; displaying tact and courtesy; maintaining confidentiality; understanding and carrying out written and oral instructions; efficiently operating typewriters and standard office machines.
Licenses/Certificates: Incumbents assigned by the district to perform formal bilingual duties at the high school level must be able to demonstrate basic oral Spanish translation competencies by passing a Spanish language certification program. Currently the District accepts certification from the Spanish Language Certification Program, Level One, offered by TMCC. Incumbents selected must be able to demonstrate basic oral Spanish translation competencies by passing a Spanish language certification program. In order to be hired, applicants who are successful in the interview process, must participate and successfully pass an exam to determine competency. The exam will be coordinated and paid for by WCSD, and administered by TMCC.
Special Considerations: If incumbents are assigned bilingual responsibilities, they may be required to work a flexible schedule, which may include evening hours.

PARAEDUCATOR AIDE I SUMMARY DESCRIPTION Under supervision, assists teaching staff in a variety of instructional activities and in the supervision of students at school and on field trips. Performs related work as required. DISTINGUISHING CHARACTERISTICS The Teacher Aide I class differs from the Teacher Assistant class in that the latter is regularly required to perform academic instructional assistance for a significant portion of time. Although positions within the Teacher Aide classification may perform some of the less responsible academic instructional assistance, the primary emphasis of this class is clerical support and student behavior control. EXEMPLARY DUTIES/RESPONSIBILITIES Assists teaching staff in a variety of classroom and school related activities; types tests, correspondence, and routine narrative and statistical reports; corrects student papers and homework; distributes and collects classroom materials and prepares classroom and audio-visual equipment for use; orders supplies and equipment; maintains student and attendance records; maintains classroom bulletin boards; counts school lunch money; supervises students taking tests; observes progress and problem areas of students for referral to the teacher; maintains safety and discipline by supervising and/or assisting in the supervision of students on playgrounds, in lunchrooms, school halls, library, study halls, and with the loading and unloading of buses at school and on field trips; verifies that students out of class have hall passes; enforces school rules and regulations; insures that students leaving campus are authorized to do so, and that students on campus are students of the school; operates common office machines; performs clerical duties as assigned. When Assigned to Enrichment Activities When assigned to enrichment activities, this position does not engage in instructional duties and is not required to meet Para Professional or highly qualified requirements. Develops rapport with students and provides sound leadership; responsible for being an example of good sportsmanship; applies discipline in a fair and positive manner and according to prescribed procedures; assists after school programming staff in a variety of areas throughout the school; collects classroom materials and prepares classroom and audio-visual equipment for use; maintains student and attendance records; supervises students in various activities and settings; maintains safety and discipline by supervising and/or assisting in the supervision of students on playgrounds, in lunchrooms, school halls, library, study halls, and with the loading and unloading of buses at school and on field trips; verifies that all students are accounted for; enforces school rules and regulations; insures that students leaving campus are authorized to do so; operates common office machines; and performs clerical duties as assigned. A minimum of six (6) months of experience working with school age youth is desirable when assigned to enrichment aide duties. Applicants hired by the District after January 8, 2002, to work at a Title I designated school, must possess a high school diploma or its recognized equivalent, and have completed the following requirements: Completed at least 48 semester hours of credit at an accredited college or university; or, obtained an associate's degree or higher degree from an accredited college or university; or, passed the ParaPro Assessment prepared and administered by Educational Testing Service (ETS) with a score of at least 460. Employees hired by the District prior to January 9, 2002, must meet the above requirements by June 30, 2006. Knowledge of: Educational principles and techniques; student behavior and characteristics; basic discipline and behavior modification techniques; correct English usage, spelling, grammar and punctuation; basic mathematics; current office methods and procedures including filing and records management; common office equipment and its usage. Skill at: Securing and maintaining the confidence and cooperation of students; dealing tactfully with students, parents and school personnel; evaluating situations accurately and taking effective action; teaching good sportsmanship; typing with speed and accuracy; spelling correctly; reading, writing and speaking English at a level required for successful job performance; preparing and maintaining accurate and complete records, files and summaries; organizing and distributing instructional materials; making mathematical computations; operating various office equipment; operating and maintaining audio-visual equipment; understanding and carrying out oral and written instructions; establishing and maintaining effective working relationships with those contacted in the course of work; providing leadership and developing rapport with students when assigned to enrichment aide duties. Licenses/Certificates: Possession of, or ability to obtain a CPR Certification is required for teacher aides working in the area of Special Education or an enrichment aide duties. New employees will be fingerprinted upon hire and every five years thereafter and will have $58.50 deducted from their first paycheck to help defray the cost of fingerprinting. Non-licensed employees will have $58.50 deduction when their fingerprints are completed every five years. Fingerprint fees are subject to change.
The job offer is conditional until a report is returned from the FBI and Nevada Department of Public Safety that meets the standards of WCSD for employment purposes.
