Position Overview

Primary responsibility of the Travel Specialist is to perform a variety of planning, travel and administrative tasks. Duties of the Travel Specialist include but are not limited to making travel arrangements for the team for race weekends and non-race day events, and day-to-day project management.

Essential Duties and Responsibilities

• Coordinate travel for employees, company guests, and partners including, but not limited to, develop and manage travel itineraries for air travel, hotel accommodations, and ground transportation per the 23XI Travel Policy
• Track, maintain and solve company travel issues as they occur 
• Serve as a resource for travel related information and the main point of contact during race weekends
• Manage all travel and event communications (verbal and written) to prepare for and execute a flawless experience from start to finish 
• Reconciliation of post-race rental car and hotel folio’s
• Work with outside travel vendors in a professional and efficient manner
• Provide contingency planning for flight delays, cancellations, or other travel disruptions, ensuring minimal impact on race operations
• Prepare documents as needed, including expense reports, memos, letters, spreadsheets, etc.
• Represent 23XI Racing in a professional manner at all times
• Special projects as assigned
• Other duties as assigned by Manager

Required Skills, Experience and Abilities

To perform the job successfully, you should demonstrate the following competencies:

• High School required
• Associates degree or higher in related field is a plus
• 2+ years of experience in an administrative support, travel and/or event coordinator role is required
• Strong computer skills – proficient in all MS Office software programs. Additional programs and platforms are a plus
• Must be willing to travel
• Must be willing to be on call during the weekends 
• Excellent grammar and creative writing skills
• Attention to detail and organization skills
• Ability to work independently and collaboratively within a team and operate well under pressure to meet tight deadlines
• Strong analytical and problem-solving skills 
• Strong project management and leadership skills
• Ability to communicate and interact with executive management as well as personnel of all levels 
• Ability to thrive in a fast-paced environment 
• Ability to identify and propose solutions to complex issues
