Project Administrator- Core

Project Administrator Location: Louisville, KY. Responsibilities Coordinate with cross-functional team members to ensure accurate and timely recording of project costs, including materials, timesheets, labor hour allocation, and daily reports. Initiate invoicing for completed work and prepare payroll documentation while managing technician applied and unapplied time. Perform general administrative functions to identify project costs for processing service billings. Generate, interpret, and print various assigned reports. Monitor account receivables invoicing status, review, investigate, and help resolve billing disputes in coordination with internal teams and customers. Communicate effectively with other team members. Cross‑train for coverage of the service project administrators when staffing needs arise. Schedule and participate in internal project team meetings to ensure accurate transfer of information. Validate cost to date and reconcile project data in business system. Manage invoicing process and coordinate format, layout, attachments, and mailing with Shared Financial Services. Review billing backlog and communicate with Project Managers, HVAC field technicians, customers, and Trane claims to resolve obstacles. Qualifications One-year certificate from a college or technical school; or three (3) plus years of related experience and/or training; or equivalent combination of education and experience. Strong communication skills, proactive approach with willingness to work independently as well as part of a team. Proven experience prioritizing tasks to meet tight deadlines within a high‑paced environment. Familiarity with operation of HVAC systems preferred, not required. Flexibility to work overtime or weekends as required. Participation in lean improvement activities.
