Position Summary
We are seeking a Facilities Operations Coordinator to support procurement coordination, vendor management, maintenance contracts, and internal operational processes within the Facilities Department. This role serves as the primary coordinator between Facilities, Sourcing, Finance, Legal, EH, Operations, and external service providers to ensure maintenance services, facility projects, and operational purchases are executed efficiently and in compliance with company standards.
Procurement & Purchasing Support
• Coordinate PRs and POs for facility maintenance, utilities, spare parts, and capital projects.
• Track procurement activities from quotation through payment.
• Coordinate RFQs, quotation comparisons, and supplier selection support.
• Follow up on invoice processing and payment status.
• Assist with budget tracking and procurement documentation.
Vendor Management
• Coordinate daily communication with contractors and service providers.
• Manage maintenance contracts, warranties, and vendor documentation.
• Track vendor performance and service quality.
• Support vendor onboarding and work scheduling.
Internal Coordination
• Coordinate with Sourcing, Finance, Legal, EH, IT, and Operations.
• Support approval workflows and project coordination.
• Organize meetings and track action items.
Facility Operations Support
• Support preventive maintenance planning and service coordination.
• Assist with emergency repair coordination and small facility projects.
• Maintain maintenance records and operational documentation.
Documentation & Reporting
• Prepare procurement, vendor, and operational reports.
• Maintain SOPs, contracts, equipment records, and tracking logs.
Qualifications
• Bachelor's degree in Business, Supply Chain, Facilities Management, Engineering, or related field preferred.
• 2+ years of experience in facilities coordination, procurement, operations, or project coordination.
• Strong communication, organization, and multitasking skills.
• Proficient in Microsoft Office.
