Operations & Accounting Associate - Wholesale Distribution

A well-established, family-owned wholesale food distribution company in Seattle is hiring an organized, detail-oriented Operations & Accounting Associate - Wholesale Distribution to support their daily business operations. In this role, you will handle general administrative duties, light accounting support, vendor coordination, and basic system maintenance. The ideal candidate is a team player who thrives under deadlines, excels in a fast-paced environment, and is comfortable managing multiple tasks independently.

Compensation: $26.50/hr

Availability: Monday - Friday, 8am - 4:30pm, 36-40 hours a week, with occasional weekends.

Key Responsibilities

• Administrative & Customer Service: Answer incoming phone calls, log customer requests, process orders, and maintain clear email communication across multiple shared inboxes.
• Accounting Support: Assist with AR/AP entry, general ledger maintenance, journal entries, cash receipts, and monthly checkbook reconciliations.
• Inventory & Logistics: Process incoming inventory receipts, file claims for damaged goods, track purchase orders/confirmations, update ETAs, and help arrange freight for incoming shipments.
• Vendor & Cross-Dock Management/Shipment Coordination: Coordinate with vendors to collect quality control documents, product specs, and customer-requested data; ensure cross-dock shipments are received and picked accurately.
• Data & Record System Maintenance: Maintain data integrity by creating new item numbers, generating custom reports, updating vendor contact records, and assembling vendor files.

Qualifications

• Strong attention to detail and organizational skills
• Experience posting transactions in an accounting or inventory system - receiving, sales, AP/AR
• Proficiency in Excel and Windows-based applications; comfortable learning business software and databases
• Ability to manage multiple priorities, meet deadlines, and communicate progress clearly
• Ability to work independently and collaborate with a small team
• Wholesale distribution, inventory, logistics, or high-volume receiving experience is helpful
