Program Assistant

Program Assistant – Neurosurgery Rutgers, the State University of New Jersey, is seeking a Program Assistant for the department of Neurosurgery at the Robert Wood Johnson Medical School. The Program Assistant provides administrative, financial, and program support to the department under the direction of the Sr. Director of Administration. Overview New Jersey’s academic health center, Rutgers Biomedical and Health Sciences (RBHS), integrates education, clinical care, and research to improve human health. The Neurosurgery department is part of this integrated organization, working with clinical partners such as Robert Wood Johnson University Hospital. Key Responsibilities Assist with day‑to‑day office responsibilities for the department. Provide administrative support, including correspondence, ordering supplies, scheduling and planning meetings, and troubleshooting equipment issues. Maintain faculty calendars, including student clinical rotations, OR shadowing, meetings, interviews with physicians and APP candidates, and vendor meetings. Process reimbursements for faculty and staff. Process payments, purchase orders, check requests, and manage open POs. Support onboarding and off‑boarding of staff (email accounts, building access, parking pass, ID, computers). FLSA Status Exempt Grade 21S Salary Minimum Salary: $58,953; Mid Range Salary: $70,476; Maximum Salary: $83,479. Qualifications Bachelor’s degree in a relevant field and at least two (2) years of related administrative and/or program support experience in a business office, government agency, or university setting. Equivalent experience, education, and/or training may substitute for the education requirement. Required Knowledge, Skills, and Abilities Proficiency in Microsoft Office (Word, Excel, PowerPoint, Visio, and Access). Ability to work independently and manage multiple priorities in a fast‑paced environment. Preferred Qualifications Experience in operational, financial, or program management. Physical Demands and Work Environment Standing, sitting, walking, talking, or hearing; no special vision requirements. Moderate noise level; multitasking in a fast‑paced environment. Special Conditions Must pass employee health clearance, tuberculosis (TB) test, and required safety training.
