Operations Coordinator

About the role

Essential Functions:

Manage customer portals including order entry invoice submission document uploads and customer account maintenance.

Coordinate with shared service teams to resolve invoice payment accounts receivable and accounts payable issues.

Track and follow up on customer vendor and internal requests to ensure timely resolution.

Prepare and maintain business correspondence contracts records and administrative documentation.

Coordinate office factory and site administrative activities including vendor and contractor support.

Support facility organization 5S initiatives and workplace improvement activities.

Assist with special projects and action items assigned by management.

Act as a liaison between departments to ensure tasks are completed accurately and on schedule.

Research issues identify appropriate contracts and independently drive assignments to completion with minimal supervision.

Perform other duties assigned.

Qualifications:

High school diploma or equivalent required; Associates or Bachelors degree preferred.

5 years of administrative operations customer service office management or related experience.

Experience supporting multiple departments in a manufacturing or industrial environment preferred.

Strong organizational time management and follow-up skills.

Demonstrated ability to independently prioritize work and drive assignments to completion.

Excellent verbal and written communication skills.

Proficient in Microsoft Office (Outlook Excel Word Teams)

Experience with ERP systems (Visual and/or SAP preferred) and customer portals is a plus.

Ability to manage multiple projects and shifting priorities in a fast-paced environment.

Strong attention to detail.

Physical Requirements:

Must be able to perform standard office physical activities including but not limited to long periods of time in the seated position and long periods of time viewing computer monitors.
