Position Overview

Ultimate Staffing is actively seeking a dedicated and organized Department Assistant to join a great company in San Diego. This position plays a critical role in supporting the department and its leadership team, ensuring efficient and smooth day-to-day operations.

3-4-month temporary role

Pay: $32.95-$41.18 DOE

M-F 8:00am-5:00pm

Must be able to pass background requirements

Responsibilities

• Provides administrative, clerical, and secretarial support to a department and its leadership team.
• Serves as a primary point of contact, handling communications, coordinating schedules, and supporting day-to-day operations.
• Prepares and proofreads correspondence, maintains records and filing systems, and ensures accurate and timely processing of reports and financial documents.
• Coordinates meetings, travel, and events; conducts data entry and basic research; and assists with departmental processes such as purchasing, reporting, and compliance activities.
• Maintains confidentiality, prioritizes multiple tasks, and collaborates effectively with staff, the public, and external partners to ensure smooth and efficient operations.
• Experience working for a public utility is helpful.

Qualifications

• 2+ years of administrative experience.
• Strong organizational and communication skills.
• Proficiency in MS Office
• High school diploma or equivalent.

Required Work Hours

Monday - Friday, during first shift hours.
