Sr. Facilities CoordinatorAssist with the operation, troubleshooting, diagnostics, housekeeping, and repairs on commercial buildingsEssential Responsibilities:Coordinate with outside contractors and Landlords for the service and repairs of equipmentValidate Lessee or Lessor responsibility through Lease Agreement and AmendmentsFollow protocol for effective building-specific maintenance and safety proceduresMaintain on-going communication with contractors, client, and teamAssist with the inspection of the sites within the assigned building portfolioCreate work orders and assign work orders to the engineering staff, subcontractors and vendorsReport on open and closed work orders and check the status of open work orders with the assigned partyRequest, review and submit work orders, bids and proposals from vendorsVerify final invoice pricing and process payments in a timely mannerAssist in the monitoring and assessment of vendor performanceTrain vendors on work order and billing proceduresManage complex work orders such as environmental issues and disaster recoveryManage service and performance of vendors and landlords for timely completion of jobsCreate and record appropriate written communication between all partiesSchedule and document maintenance and repairs on building equipmentCommunicate frequently with client, landlords and vendors to resolve issues and provide project status updatesAssist with measuring and reporting key performance indicators against service level agreementsProvide facilities helpdesk services on behalf of the client(s) and monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work productKey Competencies:Communication Proficiency (oral and written)Customer FocusInitiativeSense of UrgencyMulti-TaskingDetail OrientedFinancial KnowledgeTime Management SkillsTeam OrientedImportant Experience:A minimum of 3-5 years of experience in facility management or tenant services capacityExperience with CMMS systems or similar productivity tracking programsClear understanding of Leasing Agreements and fundamental Commercial Real Estate terminologyPrevious customer service experience with elevated communication skillsEducation:High school diploma or a General Equivalency Diploma (GED) requiredAssociates or Bachelors degree in facilities management, building, business or other related field preferredAAP/EEO Statement:C&W provides equal employment opportunity to all individuals regardless of their race, color, creed, religion, gender, age, sexual orientation, national origin, disability, veteran status, or any other characteristic protected by state, federal, or local law.
