Operations Manager, Neuro-Oncology

The Operations Manager of Neuro-Oncology oversees departmental operations for the Department of Neuro-Oncology within the Division of Cancer Medicine at UT MD Anderson. This role provides professional, customer focused support for the clinical and scientific activities of the department while ensuring efficient administrative, operational, and personnel management in a complex academic medical environment. The Operations Manager functions with a high degree of autonomy, anticipating departmental needs and driving outcomes that support institutional goals. The ideal candidate for the Operations Manager demonstrates strong leadership capability, broad administrative and operational experience, and the ability to manage complex human resources, financial, and facilities functions in an academic or healthcare setting. KEY FUNCTIONS
Personnel Leadership Directly supervise administrative support staff for the department. Coordinate staff workflows, monitor workloads, and redistribute assignments to meet deadlines. Anticipate changes in priorities and arrange coverage during staff shortages or increased demand. Address administrative concerns promptly using diplomacy and counseling as appropriate. Document actions, counseling, and performance-related discussions when required. Evaluate administrative support staff performance on an annual basis. Interview, select, orient, and train new administrative support staff. Develop and implement administrative procedures for the department. Ensure training and development opportunities are provided. Promote fair, consistent leadership, effective communication, and positive team dynamics. Human Resource Recruitment & Consultation Revise and create position descriptions for departmental personnel. Initiate and coordinate recruitment through ePAFs and internal and external postings. Collaborate with Human Resources Recruitment to source appropriate candidates. Coordinate applicant screening, interview scheduling, and salary recommendation and offer processes. Manage faculty recruitment activities, including advertising, academic appointments, credentialing and insurance applications. Oversee onboarding and orientation for faculty and staff. Interpret and ensure compliance with institutional and departmental policies. Coordinate annual evaluations and mandatory institutional training. Consult with departmental leadership on complex personnel issues. Coordinate faculty promotions, tenure, evaluations, resignations, retirements, offboarding, and recredentialing. Department Operations Approve time and attendance in Kronos and Web Schedule. Ensure accuracy of institutional on‑call calendars. Oversee daily department operations and serve as primary point of contact for faculty and staff. Manage office equipment maintenance, supplies, access, work orders, and service contracts. Assist staff with travel arrangements, reimbursements, and departmental processes. Manage department events, recognition activities, and donor‑related events. Support institutional and departmental initiatives and change‑management efforts. Assist with financial, annual, and operational reporting. Compose and route complex and confidential correspondence. Maintain departmental drives, forms, manuals, and process documentation. Facilities, Financial & Inventory Management Assist with department space planning and non‑laboratory relocations. Oversee orders for IT equipment, phones, furniture, and port activations. Coordinate new equipment requests and installation logistics. Research and recommend office equipment solutions. Maintain departmental administrative area aesthetics. Plan and monitor the annual budget with the Department Administrator. Review and approve routine expenditures as an authorized signer. Support purchasing processes for general, laboratory supplies, and equipment. Develop PRS revenue budgets and monitor E&G and PRS expenditures. Identify cost‑reduction and expense‑control opportunities. Oversee annual physical inventory in accordance with Property Control guidelines.EDUCATION
Required: Bachelor's degree in Business Administration, Hospital/Healthcare Administration or related field. Preferred: Master's degree in Business Administration, Hospital/Healthcare Administration or related field.EXPERIENCE
Required: Four years in a professional/administrative capacity, to include two years experience in a supervisory capacity in any field. May substitute required education degree with additional years of equivalent experience on a one‑to‑one basis. Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience. Preferred: Experience includes demonstrated operational leadership supervising administrative teams in complex, regulated or matrixed environments, with strong capability in workflow coordination, performance management, and day‑to‑day operations. Experience supporting academic medicine, healthcare, research, or similarly structured organizations with exposure to HR processes and budget oversight is strongly preferred.OTHER REQUIREMENTS
