Base Start Pay: $17-23/hour, based on experience, with opportunities for performance-based increases and bonus potential

About the Role

We are a comprehensive financial firm seeking a motivated and detail-oriented individual to support daily operations in a fast-paced, client-focused environment. This role is essential to maintaining efficient workflows, supporting compliance requirements, and ensuring a high level of service to clients.

This is a specialist role focused on agency operations who is organized, dependable, and takes ownership of their work. There is strong opportunity for growth for the right person who demonstrates initiative and reliability.

The individual in this role must be comfortable maintaining the office independently when other team members are off-site. This includes ensuring continuity of operations, managing incoming client needs, and keeping workflows moving during periods when the office is staffed by one person. A high level of self-motivation, accountability, and ability to self-manage is essential.

This position plays an important role in ensuring operational continuity in team performance and client experience.

Key Responsibilities

- Support daily agency operations to ensure smooth workflow across staff and client needs

- Assist coordinating appointments, meetings and events

- Prepare, greet and assist onsite clients and visitors in a professional manner

- Answer incoming phone calls promptly and professionally

- Perform accurate and efficient data entry across client and financial systems including, but not limited to CRM, Excel Spreadsheets and QuickBooks

- Draft correspondence and formal documents

- Process documents quickly and accurately with attention to detail

- Assist with compliance-related processes, maintaining organized and audit-ready documentation - Ability to multi-task and pivot quickly for client needs

- Handle high-volume client communications, including phone calls, scheduling, and in-office interactions

- Provide problem-solving support for client needs while aligning with company standards and maintaining strong client relationships

- Process and organize financial and client documents with a high level of accuracy and attention to detail

- Maintain filing systems (digital and physical) to support compliance and operational efficiency

- Collaborate with team members to streamline processes and enhance the client experience

- Manage multiple priorities in a fast-paced, deadline-driven environment using workflows

- Support the office independently and in collaboration with staff with general office needs

Requirements

- Employment is contingent upon the successful completion of a background check, due to the nature of this role and access to confidential financial and client information

- Ability to handle sensitive and confidential information with professionalism, discretion, and integrity at all times

- Demonstrated ability to work effectively as part of a team while also taking direction and executing tasks accurately

- Willingness and capability to contribute to improving workflows and helping build more efficient systems over time

- Willingness and ability to complete required Continuing Education (CE) training to support compliance and professional development
