THE ROLE

Insomniac Events is seeking a Creative Project Manager to support the Design department in Calabasas. This role reports to the Sr. Director of Media Operations and works closely with the Senior Manager, Art Direction.

The Creative Project Manager will manage the flow of work across the Design team, including project prioritization, team bandwidth, assignments, timelines, stakeholder communication, and delivery. This person will partner with executive teams, department directors, marketing teams, and brand stakeholders to ensure key visuals, key art packages, campaign creative, and priority marketing materials are properly scoped, staffed, and delivered on time.

The ideal candidate has experience managing a high volume of creative work within an agency, entertainment company, live-events organization, or in-house creative department. This is not a remote position .

RESPONSIBILITIES

• Manage the day-to-day workflow, prioritization, scheduling, and delivery of creative projects across the Design department
• Partner with the Sr Director of Media Operations and Senior Manager, Art Direction to evaluate team bandwidth, assign projects, balance workload, and identify resourcing needs
• Manage project assignments across both internal designers and outside creative partners, based on workload, skill set, project complexity, and priority
• Partner with executive teams, department directors, marketing teams, and brand stakeholders to align on creative needs, timelines, priorities, and delivery expectations
• Lead project intake, kickoff meetings, project planning, workback schedules, task assignments, and stakeholder communication
• Ensure priority work—including key visuals, key art packages, marketing campaigns, and launch materials—is properly scoped, staffed, and delivered on time
• Maintain visibility into project status, risks, shifting priorities, dependencies, approvals, and resource constraints
• Proactively identify issues that could affect timelines, quality, or workload and recommend solutions or adjustments to Design leadership
• Manage project workflow within Asana, including task creation, ownership, due dates, dependencies, reporting, and project hygiene
• Coordinate feedback, review rounds, revisions, approvals, and final asset delivery across all relevant stakeholders
• Maintain accurate project documentation, timelines, briefs, status updates, and final asset archives
• Support QA and delivery-readiness reviews to ensure creative materials are complete, accurate, and approved before release
• Improve department processes related to creative intake, prioritization, assignments, feedback, approvals, file organization, and reporting
• Attend company events and work evenings, weekends, and travel as needed to support business and event deadlines

QUALIFICATIONS

• 5+ years of experience in creative project management, creative operations, integrated production, traffic management, or design operations
• Experience working at a creative agency, entertainment company, live-events organization, or high-volume in-house creative department
• Proven experience managing multiple creative projects and a large volume of assets across overlapping timelines
• Experience managing creative-team workload, staffing, resourcing, project assignments, and delivery schedules
• Experience working directly with senior leaders, department heads, marketing teams, and brand stakeholders
• Strong understanding of creative development across design, brand, key art, marketing campaigns, print, digital, social, web, video, and production
• Advanced experience with Asana or similar project-management platforms.
• Strong organizational, communication, prioritization, and stakeholder-management skills
• Ability to remain calm, organized, and solutions-oriented in a high-pressure, deadline-driven environment
• Proficiency in Google Workspace, Microsoft Office, Dropbox, Mac, and PC.
• Passion for music, live events, and culture is strongly preferred
