This role is the central heartbeat of our caregiver operationspart supportive coach, part firm rule enforcer.
Position Overview
As the Caregiver Operations & HR Specialist, you will be the primary point of contact for our entire care team (nannies and caregivers). Your mission is to eliminate operational friction by enforcing company policies, ensuring caregivers are managing schedules, and holding staff accountable, while simultaneously maintaining open lines of communication and high morale. The right candidate will be a firm, respectful supervisor, focused on the success of the team through accountability, retention, continual training and support.

Key Responsibilities
- Rule Enforcement: Act as the primary enforcer of our internal processes, employee manual, and operational guidelines.
- Accountability Management: Review positive and negative feedback monthly, track and address chronic issues head on, including lateness, cancellations, poor communication, and no shows.
- Documentation & Compliance: Collect, verify, and log required HR documentation, such as sick notes, incident reports, and certifications.
- Disciplinary Action: Issue verbal/written warnings and manage performance improvement plans (PIPs) when caregivers fail to meet Jovie Boston standards.
- Schedule Auditing: Ensure all caregivers upload and maintain their availability in the system accurately and in a timely manner.
- Time-Off Management: Review, approve, or deny PTO and schedule change requests based on company policy and advance notice guidelines.
- Punctuality & Attendance Tracking: Monitor daily clock ins and intro calls; proactively manage attendance issues before they impact our clients.
- Communication Hub: Monitor and track caregiver call outs via office email, ensuring the office/scheduling team is notified immediately to find coverage and keep track for performance.
- Routine Check Ins and Quarterly Reviews: Conduct 30 and 90 day pulse checks with new caregivers to ensure they feel supported, equipped, and engaged and send out quarterly reviews to the team. Check in when needed with individual team members.
- Communication Standards: Continuously train and hold caregivers accountable to professional communication standards with both the office and clients.
- Conflict Resolution: Act as the mediator for internal caregiver grievances or minor client/caregiver issues.
- Create Posts on our Communication Hub: Post positive Feedback, Shout outs, Caregiver of the month, Announcements as Needed
Qualifications & Skills:
- Experience: 3+ years in HR, Employee Relations, Workforce Management, or a supervisory role within the healthcare, education hospitality, or childcare industries.
- The Dual Personality: Exceptional interpersonal skills with the ability to build trust, paired with the backbone required to enforce strict rules and deliver tough feedback.
- Operational Detail: High attention to detail; you are bothered by missed deadlines, sloppy scheduling, and lack of communication.
- Problem Solving Under Pressure: Ability to handle morning call outs or last minute chaos with a calm, decisive demeanor.
- Tech Savvy: Proficient with scheduling software, HRIS platforms, and communication tools (e.g., Discord, MyJovie scheduling app).
Pay: $52,000.00 - $58,000.00 per year
