Position Summary This Legal Assistant II position is in the Office of the Attorney General within the Antitrust Enforcement Unit in Tallahassee, Florida. Pay $43,055.22 Annually Qualifications Two (2) years of secretarial/clerical experience; AND A high school diploma or equivalency. A completed year of education can substitute on a year for year basis for required work experience. Preference will be given to candidates with experience working in a legal office. The Work You Will Do Assist attorneys in the preparation and the processing of responses to investigative subpoenas, formal discovery and other materials, legal documents and pleadings, verifying compliance with courts’ requirements, applicable court rules, and time requirements; perform data entry; compile and prepare attorneys(s) hours for billing purposes. Assist the legal team with all phases of legal and legislative matters, including conducting factual and legal research and reviewing documents. Assist the Senior Management Analyst II with tracking, disbursing and collecting information related to the distribution of settlement funds in Opioid litigation and related matters and settlements by the Antitrust Division. Communicates accurate settlement information to the subdivisions, and response to inquiries from the subdivisions. Updates the settlement databases with accurate information Maintains the Antitrust Division cases database, including updating information, opening new cases and closing cases at the direction of the Director. Process travel authorizations for attorneys, research economist and investigators. Make travel arrangements for attorneys, research economist and investigator which include airline, hotel, and rental car reservations; upon return compute the amount of per diem and expense reimbursement due, prepare expense vouchers for a transmittal to finance section for payment, and maintain each attorney’s travel and expense files. Maintain attorneys’ current case files, docketing, filing, indexing, incoming and outgoing court documents, organizing files and related research, discovery, witnesses, exhibits, etc. for the purpose of assisting attorneys in pending investigations and litigation. Compose routine correspondence not requiring a legal conclusion in response to requests from the public for assistance, information or materials; compose correspondence of transmittal of legal pleadings to courts; letters transmitting copies of opinions, other correspondence, pleadings; transmitting invoices to various agencies for payment, and inter-office memoranda. Screen telephone calls for attorneys, as required, and communicate, by telephone or in person, with other officials, attorneys, the public, the staff, and staff members of other agencies on behalf of supervising attorneys and investigators. This involves greeting visitors to the office, transmitting messages, responding to requests for data, copies of pleadings and briefs, copies of laws and other materials referring telephone calls to appropriate staff members; place calls to court officials and others to ascertain status of cases, etc. Prepare closed files for archiving utilizing OAG guidelines. Trains and oversees other support staff on OAG archiving guidelines. Retrieve and process Division mail. Make arrangements for court hearings, depositions, and investigative statements, coordinating with opposing counsel and/or his or her office or the court to obtain dates and locations for hearing, deposition, or statement. Obtain the services of an available court reporter to attend hearings, depositions, or investigative statements, preparing the contractual paperwork, forwarding the contract with instructions for execution, preparing the civil investigative demands, subpoenas, notices of deposition, etc. Tracks correspondence and administrative rule notices received by the Division to ensure deadlines are maintained and that correspondence and administrative rule notices are forwarded to appropriate recipients in a timely manner. Reads and responds to correspondence. Reviews and prepares agenda materials. Maintains various databases, coordinates meetings and/or conferences. Provides administrative support to Director and Senior Management Analyst II by answering phones, maintaining files, typing correspondence, and other office support functions as assigned. Completes additional office support functions as assigned timely and accurately. Maintains a current working knowledge of computer software used within the demands of this position. Compiles case attorney fees and expenses for petitions for reimbursement of fees and costs. Prepares quarterly attorney time reports for the Director. Returns documents to producing parties pursuant to Florida Statutes Chapter 542 or court protective order requiring the return of discovery materials. Maintains and tracks the return of documents. Performs all other duties as required. This position may require extended hours and/or travel outside of the worksite for the completion of special projects. Specific task assignments will be related to the examples listed above and may vary based on the tasks applicable to the assigned Unit .
