Position Summary

AVC Laboratory is seeking a dependable and detail-oriented Accounting Assistant to support the daily financial operations of the company. This position will assist with accounts receivable, accounts payable, invoicing, collections, reconciliations, and administrative accounting functions. The ideal candidate is organized, proactive, and capable of managing multiple priorities in a fast-paced environment.

Essential Duties & Responsibilities

• Process customer invoices and ensure timely billing.
• Record and reconcile customer payments.
• Assist with accounts receivable and collections activities.
• Process vendor invoices and accounts payable transactions.
• Verify purchase orders, receipts, and supporting documentation.
• Assist with bank and credit card reconciliations.
• Maintain accurate financial records and filing systems.
• Support month-end and year-end closing activities.
• Monitor aging reports and follow up on outstanding balances.
• Prepare financial reports and spreadsheets as requested.
• Assist with payroll-related administrative tasks.
• Communicate professionally with customers, vendors, and internal departments.
• Support audits and financial reviews by maintaining organized records.

Qualifications

• Associate degree in Accounting, Finance, Business Administration, or related field preferred.
• 1–3 years of accounting, bookkeeping, or administrative experience.
• Experience with QuickBooks Online or similar accounting software preferred.
• Strong knowledge of Microsoft Excel, Outlook, and Word.
• Excellent attention to detail and accuracy.
• Strong organizational and time-management skills.
• Ability to maintain confidentiality of financial information.
• Strong verbal and written communication skills.
• Bilingual (English/Spanish) preferred.

• Accounts Receivable and Collections experience.
• Accounts Payable processing.
• Bank reconciliations.
• Financial reporting and data entry.
• Experience working in service-based businesses.
• Familiarity with purchase orders and vendor management.
