Position Summary
We are seeking a customer-focused and detail-oriented Customer Service Representative to support fleet maintenance operations by serving as the primary point of contact for customers requiring vehicle repairs and maintenance. This position is responsible for scheduling vehicle services, communicating repair information, verifying vehicle data, maintaining accurate records, and ensuring exceptional customer service throughout the repair process. Position Summary
We are seeking a customer-focused and detail-oriented Customer Service Representative to support fleet maintenance operations by serving as the primary point of contact for customers requiring vehicle repairs and maintenance. This position is responsible for scheduling vehicle services, communicating repair information, verifying vehicle data, maintaining accurate records, and ensuring exceptional customer service throughout the repair process. The ideal candidate is organized, professional, and thrives in a fast-paced environment while managing multiple priorities.
Essential Responsibilities
- Serve as the primary point of contact for customers regarding vehicle repair, maintenance, and service requests.
- Schedule preventative maintenance, warranty repairs, commercial vehicle repairs, and other service appointments.
- Communicate repair recommendations, completed work, estimated timelines, and service updates to customers.
- Verify vehicle mileage, service history, and customer information to ensure accurate documentation.
- Perform accurate data entry and maintain service records within fleet management systems.
- Coordinate with technicians and maintenance staff to prioritize repairs and maximize shop efficiency.
- Resolve customer questions, concerns, and complaints in a professional and timely manner.
- Monitor vehicle maintenance schedules and notify customers of upcoming preventative maintenance needs.
- Process work orders and ensure all documentation is complete and accurate.
- Maintain excellent customer relationships by providing courteous, responsive, and solution-oriented service.
- Follow organizational policies and safety procedures while maintaining confidentiality of customer information.
- Perform additional administrative and customer service duties as assigned.
- High school diploma or GED required.
- Minimum of two years of customer service or administrative experience.
- Strong data entry and computer skills with attention to detail.
- Excellent verbal and written communication skills.
- Experience scheduling appointments or coordinating services preferred.
- Ability to multitask and work efficiently in a fast-paced environment.
- Strong problem-solving and conflict-resolution skills.
- Proficiency with Microsoft Office Suite and customer management software.
- Ability to work independently while collaborating effectively with team members.
- Experience in automotive, fleet maintenance, transportation, or service center operations.
- Knowledge of vehicle maintenance terminology, warranty processes, or repair scheduling.
- Experience working in a high-volume customer service or dispatch environment.
