HR Operations Specialist

Job Title: HR Operations Specialist Location: San Diego, CA Salary Pay Range and Other Compensation: $78,000 annually Employment Type: Full-Time | Direct Hire FLSA Status: Exempt Schedule: Onsite, 5 days per week About the Role We are seeking an HR Operations Specialist to join a mission-driven nonprofit organization in San Diego dedicated to making a meaningful impact in the community. This is a broad HR operations role with a strong focus on Paycom/HRIS administration, HR data and reporting, compliance coordination, and HR department business support. The HR Operations Specialist will independently own assigned processes and projects while partnering closely with HR, Payroll, Accounting, IT, and external vendors. The ideal candidate is highly systems-oriented, analytical, and detail-focused, with the ability to improve processes and ensure accurate, dependable execution across HR operations. Essential Duties and Responsibilities Perform day-to-day Paycom administration, including employee data maintenance, validation, audits, and troubleshooting of system and user issues Support process improvements and implementation of new Paycom functionality Maintain accurate employee records, databases, and tracking systems within Paycom and related HRIS platforms Design and run recurring, ad hoc, and custom HR reports related to employee data, HR programs, and operational metrics Track HR metrics, identify discrepancies and trends, and recommend opportunities for improvement Use Excel and other tools to organize, analyze, and communicate HR data Maintain the HR compliance calendar and coordinate compliance requirements and deadlines Lead assigned compliance activities, documentation, reporting, and filings Coordinate MVR checks, required workplace postings, and related HR documentation Manage HR-related invoices, purchasing, credit card and expense reconciliations, account setup, and other departmental administrative activities Partner with Payroll and Accounting to troubleshoot HR business administration matters Support workplace health and safety programs, including recordkeeping, reporting, Cal/OSHA logs, and Safety Committee activities Provide operational support for leave and benefits administration as needed Independently own assigned HR projects and initiatives and identify opportunities to improve HR systems, processes, efficiency, and service delivery Develop and maintain HR process documentation, procedures, job aids, and SharePoint resources Provide support for employee lifecycle and performance management processes as assigned Qualifications Bachelor's degree in Human Resources, Business Administration, Organizational Development, or a related field preferred; equivalent combination of education, training, and relevant professional experience may be considered Minimum of 3 years of progressively responsible experience supporting Human Resources programs, operations, administration, or related HR functions Proficient experience using Paycom required Experience with HRIS administration, reporting, and data integrity strongly preferred Experience supporting HR compliance, business administration, workplace safety, leave administration, or benefits administration preferred Experience within a nonprofit, healthcare, social services, multi-site, or similarly complex operational environment preferred SHRM-CP, SHRM-SCP, PHR, or SPHR certification preferred but not required Strong HR data and reporting skills, including the ability to use Excel to organize and analyze information Strong attention to detail with the ability to maintain accurate HR records, reports, and documentation Ability to independently manage multiple priorities, deadlines, projects, and competing requests Strong written and verbal communication skills with the ability to collaborate across HR and other business functions Ability to exercise sound judgment and maintain confidentiality when handling sensitive employee information Disclaimer The compensation and benefits information in this posting represent a good faith and reasonable estimate of what it might pay for this position.
