Project Billing Coordinator – Distribution (Utility Construction) Rhome, TX | Project Services | Distribution About the Role We are seeking a Project Billing Coordinator to support Distribution utility construction projects by ensuring field work is properly documented and prepared for billing submission. This role works closely with field operations, project management, and Accounts Receivable to coordinate complete, accurate billing-ready job packets. This is not an Accounts Receivable role. The focus is on billing readiness, job documentation, and operational coordination. While the primary focus is Distribution, this role may also support Transmission and Substation projects as needed. This role is ideal for someone who thrives in a fast-paced environment, enjoys cross-functional collaboration, and has a knack for managing invoices, reports, and communications with precision. What You’ll Do Coordinate with field crews, supervision, and project managers to gather billing inputs. Review and assemble billing-ready job packets (work orders, unit sheets, crew reports, materials, photos, approvals). Ensure documentation meets contract and utility requirements before submission. Partner with Accounts Receivable to submit billing packages through client billing portals. Track billing status, rejections, and resubmittals and help resolve issues. Support job closeout and reduction of unbilled work backlog. Day in the Life A typical day might include: Reviewing completed distribution work orders from the prior day or week. Following up with field supervision to clarify missing units, quantities, or documentation. Checking job packets for completeness before handoff to Accounts Receivable. Coordinating with AR on submissions, rejections, or resubmittals through client portals. Updating billing trackers to show what’s ready, what’s pending, and what needs attention. Communicating with project managers and Operations Leaders on billing status and closeout priorities. Helping standardize documentation so field teams know exactly what’s needed next time. Your day will involve regular interaction with operations, not just spreadsheets — this role sits right between the field and billing. What We’re Looking For 2+ years of experience in utility construction billing support, project controls, or operations support. Strong understanding of Distribution construction work (overhead and/or underground). Experience with unit-based or work-order-based billing and job packets. Ability to work directly with field teams and project managers. Strong attention to detail and follow-through. Proficiency with Excel and document management systems. Experience handling high-volume invoice processing. Preferred (Not Required) Experience supporting Transmission or Substation projects. Experience with utility billing portals (e.g., ASUS or similar). Prior experience working with investor-owned utilities (Oncor or similar). Background in project controls or construction operations support. What Success Looks Like Distribution work orders are billing-ready with minimal rework.
