Position Description

The Construction Billing Specialist is responsible for managing and processing billing for construction projects. This role requires an individual with strong attention to detail, the ability to work with large volumes of data, and a competent understanding of construction billing practices. The ideal candidate will collaborate with project managers, subcontractors, and internal teams regarding variables like time and materials, invoicing, proper documentation, and compliance with contract terms.

Salary/Pay Range: $55,000-$85,000 Dependent upon experience

Key Responsibilities:

• Prepare and process accurate and timely billing for construction projects including progress billing, final invoices, and change orders
• Review and verify contracts, work orders, time, materials, and subcontractor agreements to ensure proper billing and compliance.
• Coordinate with project managers, contractors, and clients to resolve billing discrepancies and provide necessary documentation.
• Monitor accounts receivable aging reports to ensure timely collection of payments and follow up on overdue invoices.
• Maintain detailed and organized records of all billing activities and supporting documentation.
• Assist in the preparation of monthly reports for management regarding billed and unbilled revenues.
• Review and reconcile project cost reports, ensuring alignment with contract terms and project budgets.
• Support audits and provide necessary documentation to external auditors when required.
• Stay current on industry billing practices, regulations, and compliance standards.

Position Requirements

Qualifications:

• High school diploma or equivalent; associate's or bachelor's degree in accounting, finance, construction management, or related field is preferred.
• Proven experience (5-6 years) in billing, accounts receivable, or a similar accounting role, preferably within the construction industry.
• Proficiency in Microsoft Office, particularly Excel (required)
• Excellent organizational skills with the ability to manage multiple projects simultaneously and meet deadlines.
• Strong attention to detail and accuracy in financial reporting.
• Effective communication and interpersonal skills to collaborate with internal teams, clients, and subcontractors.
• Experience with accounting software (e.g., QuickBooks, Sage 300, Viewpoint, Procore, or similar) is a plus
• Ability to work in an office setting with occasional visits to construction sites.
