Litigation Legal Assistant

Job Summary

We are seeking an experienced Legal Assistant to join the Litigation Practice Group at a well-established full-service law firm in Tallahassee, Florida. The ideal candidate will support multiple attorneys in a fast-paced litigation environment while managing legal documentation, court filings, scheduling, billing, and case management activities. This role requires strong organizational skills, attention to detail, and knowledge of Federal and State court procedures.

Responsibilities

• Support attorneys with daily litigation case management and administrative tasks
• Prepare, draft, proofread, and format legal correspondence, pleadings, and other legal documents
• Manage case openings, conflict checks, billing, records, and file maintenance
• Maintain electronic and paper case files efficiently and accurately
• Schedule hearings, meetings, appointments, and coordinate attorney calendars
• Handle Federal and State court filings and maintain awareness of procedural deadlines
• Review and calculate court deadlines in compliance with court rules and procedures
• Coordinate incoming and outgoing mail, emails, and telephone communications
• Track attorney, firm, and client expenses and process reimbursements and payments
• Assist with client billing, time entry narratives, bill revisions, and invoice distribution
• Communicate professionally with attorneys, clients, court personnel, and internal departments
• Manage multiple assignments and priorities in a high-volume environment
• Provide regular administrative and litigation support as needed

Requirements

• Minimum 5+ years of law firm experience as a Defense Litigation Legal Assistant
• Strong experience with both Federal and State court procedures and filings
• Experience supporting multiple attorneys in a fast-paced legal environment
• Strong understanding of litigation processes, legal documentation, and case management
• Excellent organizational, multitasking, and time management skills
• Strong written and verbal communication skills
• Ability to work effectively under pressure and meet strict deadlines
• High attention to detail with strong follow-through and problem-solving abilities
• Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
• Experience with legal case management and billing software required
• Knowledge of iManage, SmartTime, and Aderant preferred

Preferred Qualifications

• Experience working in a mid-sized or large law firm environment
• Familiarity with client billing systems and legal expense tracking
• Ability to manage high-volume workloads while maintaining accuracy and professionalism

• Regular communication through phone, email, and in-person interactions
• Ability to manage close attention tasks including document review and proofreading
• Ability to maintain punctual and consistent onsite attendance
