Business Operations Specialist Location: Miami, FL 33133 (Fully Onsite) Reporting to the VP Controller, you will provide operational support across compliance, contract & vendor management, onboarding/offboarding, training, information technology, accounting/finance, and investor relations. Key Responsibilities Compliance Maintain SEC compliance system by assigning and monitoring task completion, updating tasks, and managing employee status. Assist the CCO with managing the company’s compliance program, including entity lists, policy maintenance, and updates. Support and perform monthly compliance testing and tracking per the annual compliance calendar. Monitor and manage the company’s entity compliance with state requirements and maintain relations with the registered agent. Contract & Vendor Management Manage the company’s contracts, including master list maintenance, reviews, and renewal monitoring. Assist with invoice review and approvals. Support a subset of vendors including systems vendors, training vendors, IT provider, data room, compliance system, and copier vendor. Manage the company’s virtual data room: storage space, server backups, new rooms/folders, and user access. Human Capital Lead onboarding and offboarding of employees, ensuring tasks are assigned and completed. Manage the company’s annual training program, including user setup/removal, training completion status, and contract renewals. Accounting/Finance Assist with communications to investors and portfolio companies. Implement task and process automation where applicable. Support accounts payable and accounts receivable functions. Reconcile and manage receipts for the company’s corporate credit card and deposit checks. Support replication and review of various financial/legal documents. Assist with special projects and analyses as requested. Opportunity to become a Notary. IT Support/Asset Management Serve as a dedicated point of contact with the IT provider for the team’s IT experience and support. Maintain the company’s fixed asset system for IT equipment. Order IT equipment as requested. Qualifications 2-3+ years of experience supporting business operations in accounting/finance/compliance departments. Experience working with multiple software systems, including user setup, reporting, and enhancements. Proficiency in Microsoft Office, especially Excel and Word. Process‑oriented mindset.
