Job Title: Maintenance Documentation Specialist (TPM)
Job Description
The Maintenance Documentation Specialist supports the development and implementation of TPM and LEAN manufacturing practices by creating and maintaining clear, accurate equipment documentation and procedures. This role focuses on preventative maintenance packages, work instructions, job safety analyses, standard operating procedures, operator safety checks, and lockout/tagout (LOTO) procedures. The specialist ensures that every machine has correct and up-to-date SOPs and visibly posts step-by-step instructions on machines, floors, and surrounding areas to promote safety and operational clarity. The role also includes maintaining general exterior machine cleanliness and addressing visible mess or dirt to keep the work area safe and orderly.
Responsibilities
- Assist in developing and implementing TPM and LEAN manufacturing practices, including preventative maintenance packages, work instructions, job safety analyses, SOPs, operator safety checks, equipment documentation, and LOTO procedures.
- Verify that correct and accurate SOPs are present at each machine and update documentation as needed.
- Physically place step-by-step sticker instructions on machines, floors, and surrounding areas to ensure safe work areas and clear operating instructions.
- Maintain general exterior machine cleanliness and appearance, including cleaning up any major mess or dirt observed.
- Work collaboratively with sub-contractors and equipment owners to accomplish assigned projects and tasks.
- Use operator manuals, prints, procedures, and input from personnel to research and gather required technical information.
- Create LOTO documents, preventive maintenance task lists, and preventive maintenance plans within SAP.
- Utilize Microsoft Office and other general computer programs, including Word, Excel, PowerPoint, Project, Outlook, Explorer, Photo Suite, web applications, and SAP, while maintaining accurate electronic records.
- Perform general-purpose maintenance tasks such as painting, hanging wall objects, general cleanup, carpentry, plumbing, lighting, and floor care as needed.
- Use general hand tools and DVOMs safely for maintenance and documentation-related tasks.
- Maintain personal tools required for the job and keep an up-to-date documented personal tool list.
- Ensure compliance with all relevant regulations, policies, and procedures.
- Communicate effectively with all team members to support short- and long-range planning aligned with organizational goals and objectives.
- Maintain positive working relationships with customers and employees, responding professionally to requests for service and assistance.
- Design and refine workflows and procedures to improve safety, efficiency, and documentation quality.
- Continuously build knowledge and skills related to maintenance documentation, TPM, LEAN practices, and equipment operation.
- Contribute to building morale and group commitment to shared goals and objectives.
- Identify opportunities to improve and promote quality in documentation, processes, and maintenance practices.
- Work from a man-lift when required to create and label pipes and related equipment.
- Read and interpret safety rules, operating and maintenance instructions, and procedure manuals to develop clear written guidance.
- Write routine reports and correspondence related to maintenance activities, documentation updates, and process changes.
- Speak effectively before groups of customers or employees to explain procedures, safety requirements, and workflow changes.
- Perform basic mathematical calculations, including addition, subtraction, multiplication, division, and computation of rate, ratio, and percent, and interpret bar graphs as needed for documentation and planning.
- Solve practical problems and handle a variety of concrete variables in situations where only limited standardization exists, using sound judgment and established guidelines.
- Work with minimal supervision, operate across multiple trades when necessary, and assist in training others on procedures and documentation.
Essential Skills
- Associate’s degree or equivalent from a two-year college or technical school, or four to five years of relevant experience and/or training, or an equivalent combination of education and experience.
- High school diploma or GED.
- Strong familiarity with TPM, LEAN, JIT, Six-S, and Six Sigma philosophies and practices.
- Proficiency with Microsoft Office and general computer programs, including Word, Excel, PowerPoint, Project, Outlook, Explorer, Photo Suite programs, web applications, and SAP.
- Strong computer skills with the ability to type efficiently (no hunt-and-peck typing).
- Lockout/tagout (LOTO) experience and the ability to create LOTO documents.
- Ability to create preventive maintenance task lists and plans within SAP.
- Knowledge of machine maintenance and industrial maintenance practices.
- Mechanical aptitude with experience in troubleshooting equipment issues.
- Basic electrical knowledge and familiarity with DVOMs and their safe use.
- Experience using general hand tools safely and effectively.
- Ability to work from a man-lift to create and label pipes and related equipment.
- Ability to read and interpret safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write clear routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees.
- Ability to perform basic math operations using whole numbers, fractions, and decimals, and compute rate, ratio, and percent.
- Ability to interpret bar graphs and apply numerical information to work planning and documentation.
- Ability to solve practical problems and work with concrete variables in situations with limited standardization.
- Ability to lift more than 50 pounds safely.
- Ability to walk and stand for approximately 90% of the workday.
- Ability to work in both air-conditioned and non-air-conditioned environments.
- Ability to work with minimal supervision and operate effectively across multiple trades.
- Demonstrated aptitude for training others on processes and procedures.
- Strong attention to detail and commitment to quality and safety in documentation and work practices.
- Ability to maintain positive customer and employee relations and respond promptly to requests for service and assistance.
Additional Skills & Qualifications
- Experience writing procedures and technical documentation is a significant plus.
- Experience with bonding and grounding is a plus.
- Experience in machine maintenance or machine operation, especially for individuals seeking to transition away from a hands-on technician or operator role into a documentation-focused position.
- Experience with construction, industrial maintenance, and general troubleshooting in a shop or plant environment.
- Experience performing general-purpose maintenance tasks such as painting, carpentry, plumbing, lighting, hanging wall objects, and floor care.
- Comfort working in a setting where parts of the shop can be dirty and where some tasks involve getting hands-on with equipment and surroundings.
- Ability to design workflows and procedures that improve efficiency and safety.
- Demonstrated ability to build morale and group commitment to shared goals.

Work Environment
The role is based in a shop and industrial environment with early-day shifts, typically from 6:00 a.m. to 2:30 p.m., with potential adjustment to a 5:00 a.m. to 1:30 p.m. schedule. The workday involves walking or standing for about 90% of the time and handling tasks in areas that may not be air-conditioned. Some parts of the shop can be dirty, and certain responsibilities require working directly with equipment and surroundings, including getting hands-on and occasionally performing general cleanup. The environment includes exposure to machinery, tools, and maintenance equipment, and requires adherence to safety procedures such as LOTO and safe use of man-lifts and DVOMs. Employees work alongside sub-contractors, equipment owners, and other team members in a setting that combines office-based documentation work with on-the-floor activities around machines and production areas.

Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
