Plastic Surgery Medical Office Assistant

We are seeking a highly organized, detail-oriented, and versatile Medical Office Assistant to join our plastic surgery practice. This role is vital to ensuring smooth daily operations, delivering exceptional patient experiences, and supporting both administrative and clinical teams.

The ideal candidate is a proactive team player who can confidently balance front-office responsibilities, clinical support, and sterile processing duties in a fast-paced environment.

This position offers flexible scheduling and is available as either part-time or full-time.

Key Responsibilities

Front Desk & Patient Flow Management

• Greet patients and visitors warmly to create a welcoming environment
• Manage patient check-in and check-out, including verifying demographics and insurance information
• Escort patients to exam rooms and assist with patient flow throughout the clinic
• Assist patients with transfers or dressing, as needed
• Prepare and clean exam rooms between visits to maintain efficiency and hygiene
• Collect patient payments, post transactions in the EMR system, and provide receipts

Communication & Scheduling

• Answer incoming calls using a multi-line phone system
• Schedule appointments, take accurate messages, and route calls appropriately
• Assist with scheduling surgical procedures at hospitals and ambulatory surgery centers
• Manage correspondence, including emails and faxes, in a timely and professional manner

Administrative & Clinical Preparation

• Prepare patient charts and required documentation (consent forms, registration packets, billing sheets)
• Create and maintain accurate patient records in compliance with HIPAA guidelines
• Restock exam rooms, office supplies, and patient education materials
• Assist with medical records requests
• Clean and sterilize instruments and equipment according to established protocols
• Monitor sterilization equipment (e.g., autoclaves)
• Prepare procedure rooms in accordance with clinical standards

Qualifications & Skills

• High school diploma or equivalent (required)
• At least 1 year of experience in a medical office or healthcare setting (preferred)
• Working knowledge of medical terminology, HIPAA compliance, and basic insurance processes
• Strong organizational skills with the ability to multitask effectively
• Excellent verbal and written communication skills with a professional, empathetic approach
• Proficiency in EMR systems, Microsoft Office, and standard office equipment
• Ability to work independently as well as collaboratively within a team
• Physical ability to stand/walk for extended periods and perform stocking duties
